Clients book directly through their portal and those reservations flow straight into your Limo Anywhere system. This saves time, reduces errors, and gives you control over what services, vehicles, and rates they see, whether you are creating a dedicated portal for hotel guests, a corporate account with negotiated rates, or a special event where attendees need quick, easy access to book transfers.<\/p>\n\n\n\n<p class=\"has-medium-font-size\"><strong>Configuring a Custom Booking Portal<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click the \u201cAddons\u201d icon in the top navigation bar.<\/li>\n\n\n\n<li>Select \u201cCustom Booking Portals\u201d from the list of available Addons.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" width=\"772\" height=\"446\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-1.png\" alt=\"\" class=\"wp-image-12207\" srcset=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-1.png 772w, https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-1-400x231.png 400w, https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-1-768x444.png 768w\" sizes=\"(max-width: 772px) 100vw, 772px\" \/><\/figure>\n\n\n\n<p>3. Click &#8220;Add New Booking Portal&#8221;<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" width=\"624\" height=\"145\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-2.png\" alt=\"\" class=\"wp-image-12208\" srcset=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-2.png 624w, https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-2-400x93.png 400w\" sizes=\"(max-width: 624px) 100vw, 624px\" \/><\/figure>\n\n\n\n<p>4. In the \u201cName\u201d field enter a clear internal name such as \u201cHilton Downtown Guest Transfers\u201d or \u201cABC Corp Executive Travel.\u201d<\/p>\n\n\n\n<ol class=\"wp-block-list\"><\/ol>\n\n\n\n<p>5. Upload a \u201cLogo\u201d file and select a \u201cHeader Color\u201d field to brand the portal.<\/p>\n\n\n\n<p>6. Set the \u201cPortal Active Start\/End\u201d fields if the portal is time-limited, or leave the end blank to keep it active indefinitely.<\/p>\n\n\n\n<p>7. Use the \u201cMinimum\/Maximum Booking Date\u201d and \u201cMinimum Hours Before Booking\u201d fields to control how far out and how soon bookings can be made.<\/p>\n\n\n\n<p>8. Check or uncheck options depending on the client\u2019s needs:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u201cUse Portal for Leads and Auto-Quotes\u201d to have requests flow in as quotes instead of confirmed trips.<\/li>\n\n\n\n<li>\u201cAllow New Passenger Accounts\u201d to let new riders create their own account at checkout.<\/li>\n\n\n\n<li>\u201cAllow Multiple Passengers\/Stops\u201d to enable group or multi-stop bookings.<\/li>\n\n\n\n<li>\u201cAllow Custom Pickup\/Dropoff Addresses\u201d to permit or restrict free-form addresses.<\/li>\n\n\n\n<li>\u201cPrompt for Payment Details\u201d or \u201cPrompt for Separate Name on Credit Card\u201d to collect payment info at booking.<\/li>\n<\/ul>\n\n\n\n<p>9. In the \u201cLimoAnywhere Room Field\u201d select the correct PO\/Client Reference # field if needed.<\/p>\n\n\n\n<p>10. Add any \u201cIntro Text\u201d field, \u201cFixed Group Name\u201d field, and select a \u201cDefault Status\u201d field such as \u201cOnline and eFarm In\u201d or \u201cUnassigned\u201d to determine how bookings will appear in your system.<\/p>\n\n\n\n<p>11. Use the \u201cPick Up Time Tooltip,\u201d \u201cWelcome Instructions,\u201d and \u201cFooter Text\u201d fields to add client-facing directions or disclaimers at the top or bottom of the portal.<\/p>\n\n\n\n<p>12. Click the \u201cAdd Portal\u201d button to save your updates.<\/p>\n\n\n\n<p class=\"has-medium-font-size\"><strong>Adding a Custom Booking Portal Agent<\/strong><\/p>\n\n\n\n<p>Once your portal has been created, you\u2019ll want to make sure an Agent is added so the portal can accept and manage bookings properly.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Select the &#8220;Agents&#8221; tab at the top of the screen.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"624\" height=\"82\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-3.png\" alt=\"\" class=\"wp-image-12209\" srcset=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-3.png 624w, https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/10\/portal-3-400x53.png 400w\" sizes=\"(max-width: 624px) 100vw, 624px\" \/><\/figure>\n\n\n\n<p>2. Click \u201cAdd New Booking Agent\u201d to open the agent setup screen.<\/p>\n\n\n\n<p>3. Fill in the \u201cFirst\u201d and \u201cLast\u201d name fields for the agent.<\/p>\n\n\n\n<p>4. Enter the agent\u2019s \u201cEmail\u201d address.<\/p>\n\n\n\n<p>5. In the \u201cPortal\u201d field, select the portal you want the agent linked to (for example \u201cHilton Downtown Guest Transfers\u201d).<\/p>\n\n\n\n<p>6. In the \u201cPassenger Types\u201d field, choose how passengers will be entered into the system:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u201cFree-Form Passengers\u201d lets the agent manually enter passenger information for each booking.<\/li>\n\n\n\n<li>\u201cLook-Up By Account Number\u201d requires the agent to select an existing passenger by account number.<\/li>\n\n\n\n<li>\u201cBoth\u201d allows either free-form entry or lookup by account number.<\/li>\n\n\n\n<li>\u201cNone\u201d disables passenger entry entirely.<\/li>\n<\/ul>\n\n\n\n<p>7. Pick a \u201cTime Format\u201d (12-hour or 24-hour).<\/p>\n\n\n\n<p>8. Check \u201cPrompt for Booking Contact\u201d if you want the system to request a booking contact for each reservation.<\/p>\n\n\n\n<p>9. Check \u201cAddress Names Only\u201d if you want addresses restricted to saved names instead of free-form entries.<\/p>\n\n\n\n<p>10. Click the \u201cAdd Agent and Continue to Add Accounts\u201d button to save the agent.<\/p>\n\n\n\n<p>After saving, you\u2019ll land on the \u201cEdit Custom Booking Portal Agent\u201d screen. At the top of this page you\u2019ll see the Portal Link and Portal iFrame Code. The link is what you send to your client for direct booking access, and the iFrame code lets you embed the portal into your own website if you prefer. The URL will typically start with your AddOns shortcode (for example <a href=\"https:\/\/[yourshortcode].mylimobiz.com\/m\/portal\/\">https:\/\/[yourshortcode].mylimobiz.com\/m\/portal\/<\/a>&#8230;).<\/p>\n\n\n\n<ol start=\"1\" class=\"wp-block-list\">\n<li>(Optional) Enter an address in \u201cSend Booking Email Notice To\u201d if you want booking notifications sent automatically and add a \u201cSend Booking Email Subject\u201d<\/li>\n\n\n\n<li>(Optional) Check \u201cPrompt for Custom Signage,\u201d \u201cShow Vehicle Image,\u201d or \u201cRequire Billing Address\u201d based on desired features for your booking portal.<\/li>\n\n\n\n<li>Customize the \u201cSend Booking Email Body\u201d using placeholders on the right to format your confirmation emails.<\/li>\n\n\n\n<li>Under \u201cAccount Numbers This Agent Can Select,\u201d click \u201cAdd Account\u201d to link the agent to specific accounts.<\/li>\n\n\n\n<li>Under \u201cPayment Methods This Agent Can Select,\u201d pick from the dropdown or click \u201cAdd Payment Method\u201d to allow additional options.<\/li>\n\n\n\n<li>Under \u201cVehicle Types This Agent Can Select,\u201d choose the allowed vehicle types, optionally add a \u201cVehicle Alias,\u201d set the \u201cVehicle Order,\u201d and click \u201cAdd Vehicle\u201d to save it.<\/li>\n\n\n\n<li>When you\u2019re finished, click \u201cUpdate Agent\u201d to save all changes.<\/li>\n<\/ol>\n\n\n\n<p class=\"has-medium-font-size\"><strong>Creating Specialty Rates for Your Custom Booking Portals<\/strong><\/p>\n\n\n\n<p class=\"has-small-font-size\">Once your booking portal and agent are set up, you can create rate sheets tailored to the clients who book through that portal. This is especially helpful if you want to offer negotiated or specialty pricing to certain groups, such as hotel guests or corporate accounts.
