Before a reservation can be included on an invoice, the following conditions must be met:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>The Billing Contact must have an account in your system.<\/li>\n\n\n\n<li>The Payment Method must be set to \u2018Direct Bill-Invoice\u2019 under the \u2018Payment Info\u2019 tab. This setting tells the system that the reservation will be invoiced.<\/li>\n<\/ol>\n\n\n\n<figure class=\"wp-block-image size-full is-resized\"><img decoding=\"async\" width=\"463\" height=\"153\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-1-2.png\" alt=\"\" class=\"wp-image-11408\" style=\"width:739px;height:auto\" srcset=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-1-2.png 463w, https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-1-2-400x132.png 400w\" sizes=\"(max-width: 463px) 100vw, 463px\" \/><\/figure>\n\n\n\n<p>NOTE: You can set the default Payment Method for an account to \u2018Direct Bill-Invoice\u2019 under the \u2018Financial Data\u2019 tab in the account. The \u201cCreate Invoices\u201d tab will open by default, displaying all settled trips with the \u201cDirect Bill\/Invoice\u201d payment method, organized by Billing Contact.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" width=\"709\" height=\"239\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-4.png\" alt=\"\" class=\"wp-image-11404\" srcset=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-4.png 709w, https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-4-400x135.png 400w\" sizes=\"(max-width: 709px) 100vw, 709px\" \/><\/figure>\n\n\n\n<p><strong>Creating an Invoice<\/strong><\/p>\n\n\n\n<p>To create an invoice in Limo Anywhere, you can use one of two methods:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Creating an Invoice Using the Link<\/strong><\/li>\n<\/ol>\n\n\n\n<p>a. Click the blue &#8220;Create Invoice&#8221; link.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"624\" height=\"21\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-5.png\" alt=\"\" class=\"wp-image-11403\" srcset=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-5.png 624w, https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-5-400x13.png 400w\" sizes=\"(max-width: 624px) 100vw, 624px\" \/><\/figure>\n\n\n\n<p>b. This will open the invoice with all trips for the selected Billing Contact.<\/p>\n\n\n\n<p>c. (Optional) Set the Invoice #. NOTE: Invoice numbers are auto-generated after the first invoice.<\/p>\n\n\n\n<p>d. Select the appropriate payment term from the dropdown.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" width=\"254\" height=\"320\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-6.png\" alt=\"\" class=\"wp-image-11402\"\/><\/figure>\n\n\n\n<p>e. Enter the PO # (if applicable).<\/p>\n\n\n\n<p>f. Select the trips to include in the invoice by clicking the checkbox.<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" width=\"158\" height=\"136\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-7.png\" alt=\"\" class=\"wp-image-11401\"\/><\/figure>\n\n\n\n<p>g. (Optional) Add a Customer Message, which will be visible on the invoice.<\/p>\n\n\n\n<p>h. (Optional) Add Invoice Notes, which are visible only internally.<\/p>\n\n\n\n<p><br>i. Click &#8220;Save Changes.&#8221;<\/p>\n\n\n\n<p>NOTE: The invoice won\u2019t be created until you click &#8220;Save Changes.&#8221;<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><\/li>\n<\/ol>\n\n\n\n<p><strong>Creating an Invoice by Adding Selected Trips<\/strong><\/p>\n\n\n\n<p>a. Click the [+] next to the Billing Contact to view all trips ready for invoicing<\/p>\n\n\n\n<figure class=\"wp-block-image alignfull size-full\"><img decoding=\"async\" width=\"383\" height=\"51\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-9.png\" alt=\"\" class=\"wp-image-11399\"\/><\/figure>\n\n\n\n<p>b. Select the trips you want to include.<\/p>\n\n\n\n<figure class=\"wp-block-image alignfull size-full\"><img decoding=\"async\" width=\"332\" height=\"119\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-10.png\" alt=\"\" class=\"wp-image-11398\"\/><\/figure>\n\n\n\n<p>c. Click &#8220;Add Selected Trips to Invoice.&#8221;<\/p>\n\n\n\n<figure class=\"wp-block-image aligncenter size-full\"><img decoding=\"async\" width=\"220\" height=\"157\" src=\"https:\/\/www.limoanywhere.com\/wp-content\/uploads\/2025\/02\/invoice-11.png\" alt=\"\" class=\"wp-image-11397\"\/><\/figure>\n\n\n\n<p>NOTE: The invoice is created once you click &#8220;Add Selected Trips to Invoice.&#8221; You can then update the Invoice #, Terms, Customer Message, Invoice Notes, Discount, or Extra Charge, and click &#8220;Save Changes.&#8221;<\/p>\n\n\n\n<p><strong>Modifying Invoices<\/strong><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click the \u201cReceivables\u201d icon from the Navigation Bar.<\/li>\n\n\n\n<li>Select the \u201cInvoices\u201d tab.<\/li>\n\n\n\n<li>Click the Invoice # of the invoice you want to make changes to.<\/li>\n\n\n\n<li>Make the appropriate changes to the invoice, then click \u201cSave Changes.\u201d<\/li>\n<\/ol>\n\n\n\n<p>NOTE: Only unfinalized invoices can be changed.<\/p>\n\n\n\n<p><strong>Finalizing an Invoice<\/strong><\/p>\n\n\n\n<p>While an invoice can be sent before finalization, it&#8217;s important to note that reservations can still be added or removed until the invoice is finalized. For this reason, we recommend finalizing the invoice only when it&#8217;s ready to be sent. If you&#8217;re tracking a rolling total for the month, you can send an unfinalized invoice to your client who wants to track their ongoing spend.
