Simplifying Reservations with Limo Anywhere’s Points of Interest

Points of Interest (POIs) are the go-to places where our customers frequently get picked up or dropped off. These include locations such as stadiums, concert venues, hotels, or restaurants, but there’s no limit to the number of categories you can create in Limo Anywhere. By utilizing POIs in Limo Anywhere, entering frequent addresses becomes a straightforward task, enhancing the accuracy of the data entered into a reservation. In this blog post, we’ll delve further into the technical aspects of leveraging POIs to streamline your operations and make your workflow more efficient.

Adding a POI

There are two ways to add POIs to your Limo Anywhere:

  1. Adding a POI as a Company Resource
    1. Click the ‘My Office’ icon and navigate to the ‘Company Resources’ tab.
    2. Select ‘Points of Interest (POI)’ from the left-hand side of the screen.
    3. Choose the appropriate Parent Category from the dropdown menu. To add a new category, select the ‘…’ button and enter the desired POI type.
    4. Enter the name and address information for the new POI.\"\"
    5. (Optional) Enter any Special Instructions/Directions related to the POI.
    6. Click ‘ADD NEW POI’ to save the entry.
    7. To choose how POIs appear in your Limo Anywhere system select either ‘Categorized’ or ‘Listed’ in the Show POI list dropdown, then click Save.
      1. Choosing ‘Categorized’ organizes your POIs by their category and lists your POIs in alphabetical order within their category.
      2. \"\"Choosing ‘Listed’ displays all POIs in alphabetical order.

  1. Adding a POI during the Reservations Process
    1. When entering the routing information for a reservation, click the POI tab.
    2. Before adding a new POI, confirm that it isn’t available in the Points of Interest dropdown.
    3. Enter the Location Description/Name
    4. Ensure the ‘Save as POI?” box is checked.
    5. Select a Category from the ‘Save to category:’ menu.
    6. Enter the routing information for the POI (Street Address, City, State, Zip Code)
    7. Select the appropriate radio button for the POI you’ve created (Pick-up, Drop-off, Stop, Wait) to save the POI in your system.

Editing or Inactivating a POI

Circumstances may arise where updates are necessary, whether it\’s a local hotel undergoing a rebrand or a business permanently closing its doors. In Limo Anywhere, you have the ability to edit or inactivate any of your POIs, ensuring that your system contains the most up-to-date information.

To Edit a POI:

  1. Click the ‘My Office’ icon and navigate to the ‘Company Resources’ tab.
  2. Select ‘Points of Interest (POI)’ from the left-hand side of the screen.
  3. Select the POI you want to edit from the list and click the ‘EDIT POI’ button.
  4. Make the appropriate updates (ex. new business name, updated routing information, special instructions/directions, etc.)
  5. Click ‘UPDATE POI’ to save your changes.

 

To Inactivate a POI:

  1. Follow steps 1-3 in the process above.
  2. Choose ‘INACTIVE’ from the Status dropdown menu.
  3. Click ‘UPDATE POI’ to save your changes.

With the holiday season approaching, now is the perfect time to start planning for peak travel days. In this blog, we’ll explore two important tools to help you manage your pricing during the busy months and create appealing promotions that catch your customers’ attention.

Peak Pricing

When the holiday season or other peak times arrive, it\’s common for businesses to implement \’premium\’ pricing to account for the added expenses of operating during these periods.

  1. Click the “My Office” button in the Navigation Bar
  2. Select the “Rate Management” tab and click the System Rate Manager button in the left-hand menu.
  3. Click the “Add New Rate” button.
  4. To add a flat fee, make sure you choose the Fixed Rate tab.
  5. Select “Miscellaneous” from the Rate Group drop-down menu.
  6. Enter a name in the Rate Name field (ex. Holiday Fee, Peak Fee, etc.)
  7. Leave the Default Amt field blank, you’ll establish the pricing and rules in the Miscellaneous Fees section.
  8. Click “Save” when you’re finished.
  9. Next, select the Miscellaneous Fees button in the left-hand menu.
  10. Click “Add New Fee”
  11. Select the rate you just created in the “Associate with Rate” dropdown.
  12. Set the “Type” to Mandatory.
  13. (Optional) if you want this fee to be associated with a particular Service Type, Vehicle Type, or Airport Code, you can select the appropriate options from the respective dropdowns.
  14. Enter a name into the Miscellaneous Fee Name field.
  15. Enter the fee amount into the Miscellaneous Fee Amount field.
  16. Select the dates or times when you want the fee to apply.
  17. Click the “Save” button when you’re finished.

If you would prefer a percentage increase on these dates, the process is the same, but in the System Rate Manger you’ll choose the “Percentage Rate” tab and you’ll choose which Surcharge you want to associate your holiday fee with in the “Rate Group” dropdown.

Holiday Promo Codes

In addition to peak pricing, you may want to encourage bookings throughout the holiday season, this is where promo codes and rates come into play.

Scenario 1: $30 Discount on Airport Transfers during Christmas and New Year\’s Week

  1. Click the “My Office” button in the Navigation Bar
  2. Select the “Rate Management” tab and click the Special Promotions Set Up button in the left-hand menu.
  3. Click the “Add Promo Code” button.
  4. Enter a name in the Promo Code Field
  5. Make sure the “Is Discount” option is checked.
  6. Choose the service types you want the discount to apply to, such as \”To Airport\” and \”From Airport\”.
  7. Set the date range for your promotion and include a description.
  8. Click \”Add Promo Code.\”

9. To finalize the discount, go to the Promo Discounts tab, select the Promo Rate you just created, and enter the discount amount, either as a flat rate or percentage.

10. Click the “ADD RATES” button to save the information.

Scenario 2: Special Promotional Rate for Holiday Lights Tour

  1. Add a new Promo Code following the steps above but leave the \”Is Discount\” box unchecked.
  2. Specify parameters for service type, vehicle type, zip codes, airports, and dates.
  3. Navigate to the “Promo Rates” tab.

In the ground transportation industry, agents are vital contributors who assist companies in boosting their revenue. In this blog post, we\’ll dive into the steps of establishing and managing agents within the Limo Anywhere.

Setting Up Agents

An agent refers to anyone who receives compensation, either through a fixed fee or a percentage-based commission, for making a sale on behalf of the company. These agents can include company employees or individuals who are not directly employed by the company, such as hotel concierges or travel agents. To add an agent to your system:

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select the “Company Resources” tab and click the “Agents” button from the left-hand menu.
  3. Enter the agent’s information in the blank form on the right side of the screen by completing the following fields
    1. Personal Information
      • First and Last Name (this is the only required field to create an agent profile)
      • Company Name (if applicable)
      • Street Address, City, State, and Zip Code

Utilizing the ORES Agent URL

The ORES Agent URL enables you to provide agents with a unique URL, allowing them to make reservations while ensuring that the reservation is linked to them. This ensures they receive the appropriate commission if applicable.

For example, consider a scenario where you\’ve partnered with a local hotel, offering a 5% commission for each reservation they make on behalf of their guests through your company. By providing them with an Agent URL, they can start making reservations for their guests right away, and the reservation will automatically reflect their commission rate. To create a unique booking link for an agent:

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select the “Company Resources” tab and click the “Agents” button from the left-hand menu.
  3. Add a new agent using the steps above or editing an existing agent by selecting an agent from the menu and clicking the “EDIT AGENT” button.
  4. Enter the code you would like to use for the agent’s bookings. Note: this code must be unique for each agent and cannot include spaces or special characters.

5. Click either the “SAVE AGENT” or “UPDATE AGENT” button to save the changes.

6. Once the agent’s information has been saved you will now see a unique booking URL that you can provide to the agent by selecting the “Copy” button.

In our latest blog post, we\’ll walk you through the process of setting up drivers in Limo Anywhere, highlighting the practical benefits it brings to your business. Managing driver information is not just about data entry; it\’s a pivotal step in optimizing your dispatching experience and making the most of your Limo Anywhere system.

Adding a Driver

  1. Navigate to My Office > Company Resources > Drivers
  2. Enter the Driver’s First and Last Name in the ‘Add New Driver Form’.
  3. Enter the Driver’s number in the ‘Cellular Phone’ Field.

The Driver’s Full Name and Phone Number are the only required pieces of information, the remainder of the driver’s profile is optional or based on your organization’s preference.

    1. Complete the following Optional items as applicable:
      1. Enter the ‘Primary Address’, ‘Apt/Ste’, ‘City’, ‘State/Prov’, and ‘Zip/Postal Code .
      2. Enter the ‘Driver’s License #’, ‘DL State’, ‘Exp Date’, ‘Badge #/Other ID’, ‘Exp Date’, ‘Social Security’, and ‘DOB’.
      3. Enter the ‘Trip Hourly Pay Rates’, ‘Travel Time Hourly Pay’, and ‘Passenger Time Hourly Pay’ (for more information on driver payroll, visit the following article: How-to Utilize Driver Payroll
      4. Enter the ‘Type’, leave ‘Status’ set to ACTIVE, set the ‘Web Access’, enter the ‘Hire Date’, and skip the ‘Termination Date’

NOTE: if you want your driver to utilize DriverAnywhere, you will need to provide them with Web Access credentials. More information about DriverAnywhere access can be found in the Edit Driver Information section of this post.

    1. Set the ‘Driver Work Schedule‘.
    2. Enter ‘Home Phone‘, ‘Fax‘, ‘Provider‘, ‘Pager/Other‘ and ‘Provider‘, and ‘Email Address‘.
    3. Check off the boxes labeled ‘Home‘, ‘Cell‘, and ‘Other‘ if you would like to include phone # on trip sheets.
    4. Fill out ‘Name to Display in Dispatch‘, ‘Name to Display on Trip Sheets‘, ‘Driver Level‘, ‘Assign Driver to Car‘, ‘Assign Driver to Group‘, ‘Driver Notes‘ and ‘Username/Password‘
      • If you wish to use the Driver’s First Name and Last Name on the Dispatch Grid or Trip Sheets, can you leave this section blank, otherwise you can choose how you would prefer to have this information displayed (ex. if you use Numbers to identify your drivers, you might identify Matt Smith as 001 on your Dispatch Grid).
      • Click the ‘ADD NEW DRIVER’ button at the bottom of the screen to save the driver’s information in the system.

Edit Driver Information

When setting up a driver for the first time, you are going to want to edit their information to access some of the additional settings available, such as DriverAnywhere Settings.

To Edit a Driver:

  1. Select the Driver from the ‘Drivers’ module.
  2. Click the ‘EDIT DRIVER’ button.
  3. The driver’s information will open in the ‘Edit Driver’ tab where the blank driver form had previously been in the previous section along with the additional tabs for DriverAnywhere Settings, Payroll Setup, and Driver Portrait.

DriverAnywhere Settings

If you want you Driver to have access to DriverAnywhere, you will need to adjust their settings appropriately under the DriverAnywhere Settings tab (make sure the ‘Use Driver Anywhere’ checkbox is ticked). Note: Drivers do not have access to DriverAnywhere by default and DriverAnywhere settings are controlled per driver.

Payroll Setup

Limo Anywhere offers you the option to pay your drivers a percentage of the revenue taken from the customers charges plus an hourly charge and/or a fixed rate per trip.

NOTE: Creating just one payment schedule per vehicle type for each driver is important because it enables the system to input this information into the driver payroll fields on the settlement screen. If multiple schedules are generated for a single vehicle type for a particular driver, it leads to system ambiguity, making it challenging to determine which stored schedule should be utilized.

If you are paying your driver a percentage of the fees / charges, enter the amounts here. Check the box next to the applicable rate and enter the percentage that the driver is to be paid from each element of the total fee you bill to your customer (ex. 100% of the gratuities paid out).

Driver Portrait

The Driver Portrait feature will allow you to include your driver\’s portrait on any scheduled email or custom forms sent to your client.

When it comes to managing your operation, there’s no one-size-fits-all solution. Whether it’s utilizing unique scheduled messaging, customizing your  service types, or even fine-tuning account settings — your business is unique, and your tools should reflect that. Did you know that you have the power to not only customize how account numbers are assigned in your system but also the specific information you need when setting up new accounts? In this blog we’ll guide you through how to set up custom account numbering as well as guide you through the steps to require specific account information during setup.

Accessing Account Number Settings

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select “Company Preferences” from the Company Settings tab, then click the “Accounts, Calendar, Quotes” button from the lefthand menu.

There are two options available under the “Customer Account Numbers:” field: System Generated or Manually Entered.

By default, the system is set to “System Generated” and “Begin at 30000”, but your system can start with any number you prefer. System Generated numbers means anytime a new account is created Limo Anywhere will assign the next available account number (ex. 30000, 30001, 30002…, etc.)

Note: If you choose the “System Generated” option, you are only allowed to enter numerical values in the “Starts With:” field in order for the system to create numbers in sequence.

Choosing the “Manually Entered” will  require the account number be entered by the person setting up the account each time a new account is created. Manually entered account numbers can be a numerical, text, or a combination of both.

[Optional] if you’re choosing to generate your own account numbers, you can choose to allow duplicate account numbers. This would allow multiple passengers, booking contacts, and billing contacts to be assigned the same account number this linking those persons with that account number for the purpose of invoicing or reporting.

Note: These settings impact your system globally, but this setting can be adjusted at any time. For example, if you prefer to use system generated accounts for your retail clients but prefer to use a manual format when generating account numbers for corporate clients, you can always adjust this setting while creating an account you want to use a manually entered value for and then return the setting back once the account has been created.

Setting Required Account Fields

Before adding accounts, you are able to define what fields in the Account Profile are required before the Account can be saved.

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select “Company Preferences” from the Company Settings tab, then click the “Accounts, Calendar, Quotes” button from the lefthand menu.
  3. Click the “Required account fields” link.
  4. Information is broken up into two categories, Account Info type and Financial.
  5. Tick the boxes for each of the pieces of information you want to require when an account is created.
  6. Click the “Update Account Required Fields” button to save changes.

For example, when setting up a new account, you might want to require that every contact requires a phone number and an email, or maybe you want to ensure that each account is created with a valid form of payment, you can select “Pmt Method”.

Note: this setting is also global, so you may not want to require a Company Name unless you do almost exclusively corporate work.
