While every client deserves excellent service, some may have specific expectations that go above and beyond. That’s where the Account Priority feature in Limo Anywhere comes in. This setting makes it easier for your team to identify high-touch clients at a glance, both on the Dispatch Grid and in your reporting.

What Is Account Priority?

Limo Anywhere includes three account priority levels: Normal, VIP, and VVIP. How you choose to define and use these is completely up to your operation.

For example:

  • VIP might be a client who prefers a specific chauffeur or vehicle.
  • VVIP could be someone with extra requests, like having their favorite coffee ready for early morning reservations.

How to Set an Account’s Priority

When setting up a new account:

  1. Choose the appropriate Priority Level from the dropdown
  2. Save your changes

To edit an existing account:

  1. Search for the account (by name, company, account number, etc.)
  2. Click Edit
  3. Select the Priority Level from the dropdown
  4. Click Save.

You can also add any notes related to that client’s preferences in the Preferences/Trip Notes field. This is a separate field from the Trip Notes section at the reservation level.

Showing Priority Status on the Dispatch Grid

  1. On the Dispatch Grid, click the “Grid Setup” hyperlink

2. Under the Grid Setup tab, make sure that box for ‘Passenger Priority Level & Notes’ is ticked

3. To highlight VIP/VVIP Passenger Status, navigate to the My Prefs tab, scroll to the appropriate selecting, select ‘Yes’ from the dropdown menu and then select your desired highlight color.

4. Click Update Dispatch Grid Fields to apply your changes.

Once saved, priority clients will be highlighted in your chosen color. If the account has notes, you’ll see a notepad icon you can hover over for quick reference.

Exporting a List of VIP and VVIP Clients

  1. Click the “Accounts” icon in the Navigation Bar
  2. Navigate to the “Export Customers” tab
  3. If you are looking to run a complete list of clients, make sure that the box for ‘Include All Dates’ is ticked, otherwise choose the date range for Reservations you are looking for (ex. maybe you only want to run a list of account who have booked sometime within the last year).
  4. Check ‘Include All Fields’ or choose the individual fields you would like included on the report (ex. First Name, Last Name, Email Addresses, Account Priority).
  5. (Optional) check the ‘Date Created’ option, this will allow you to easily identify when an account was created so that you can identify new accounts vs. older accounts.
  6. Under the ‘Accounts that are:’ option, choose the appropriate radio button (Active, Inactive, Both).
  7. Click ‘Generate Export File’
  8. Download the .csv file and you can edit, filter, and sort the data appropriately.

NOTE: On the export file, accounts with a “Normal” priority will show as NP.

Using ReadBack Scripts within Limo Anywhere is a powerful way to ensure clear, consistent communication with customers booking over the phone. Enabling ReadBack Scripts in Limo Anywhere

  1. Select ‘My Office’ from the navigation bar.
  2. In the ‘Company Settings’ tab, choose ‘Company Preferences’ then select ‘Reservations’ from the lefthand menu.
  3. There are two options avaialble for ReadBack Scripts: ‘Produce ReadBack Script on First Save’ and ‘Produce ReadBack Script on All Saves.’
    Set the dropdown for the setting that best fits your workflow to ‘Yes.’
  4. Click the ‘Update My Company Preferences’  button to save your changes.

ReadBack Script Templates

ReadBack Script templates help ensure each reservation is confirmed with specific, consistent information. By using Limo Anywhere’s Trip Tags, you can automate details like client names, addresses, and pick-up times. Here’s how to create these templates:

  1. Select ‘My Office’ from the navigation bar.
  2. In the ‘Company Settings’ tab, select ‘ReadBack Script Templates’ from the lefthand menu.
  3. Name Your Template: In the ‘Template Name’ field, give your script an identifiable name (e.g., Airport Arrivals’ or ‘Medical Transportation).
  4. Select Service Types: Assign the script to specific service types (e.g., Airport Arrival, Wedding, Prom) or select all to apply the template to all service types.
  5. Add Script Text and Trip Tags: Write the main text for your script and include Trip Tags for dynamic content—such as client name or trip time—to personalize each booking confirmation.

Use Cases for ReadBack Scripts

ReadBack Scripts are highly versatile and can be tailored to suit various service types and reservation needs. Here are some effective ways to incorporate them into your operations:

  • General Reservations: Use a standard ReadBack Script for all reservations to guide reservationists in confirming essential trip details, including date, time, pickup and drop-off locations, and vehicle type. This ensures every booking is accurately reviewed, helping prevent miscommunications.

Sample Template:

Your Confirmation Number is #TRIP_CONFNUM#. A copy of this confirmation will be emailed to you shortly; please review all the details carefully.

Your reservation is scheduled for #TRIP_PUDAYNAME#, #TRIP_PUDATE# at #TRIP_PUTIME#.

We will be transporting #TRIP_PASS_FNAME# #TRIP_PASS_LNAME# with a total party of #TRIP_PASSCOUNT# passengers in a #TRIP_VEHTYPE_DESC#. Route details:

  • Special Requirements: Set up specific scripts to gather required information for specialized services, like PO numbers for medical transportation or accessibility needs.

When it comes to running a successful business, managing bookings and reservations is only half the battle. It\’s equally important to keep tabs on your clientele and attract new customers to ensure sustained growth. In this blog post, we\’ll explore how Limo Anywhere reporting can help you efficiently track new clients and help you to expand your customer base and boost profitability.

Accessing New Booker Reports

In contrast to other reports, you can find this data under the Accounts tab in Limo Anywhere.

  1. In the Navigation Bar, click the Accounts icon.
  2. Select the ‘Export Customers’ tab.
  3. Select the parameters for the data you would like to Export. Note: make sure to check the ‘Date Created’ box to determine what accounts in your system are new.
  4. Select the date range of reservations you are looking to check for new accounts (daily, weekly, monthly, etc.)
  5. Once you have selected the appropriate parameters, click the ‘Generate Export File’ button.

  1. Download exported data from the next window.

  1. Manipulate the data in the spreadsheet to only include the relevant information.
  2. Sort the “Date Created” column by Newest to Oldest to see the accounts that were created most recently at the top.
  3. Remove any rows that are not relevant to the dates you are looking to review. In the screenshot below, we have removed accounts not created within the past month.

Once you have the spreadsheet, you can use this information to see new companies and retail clients that have been booking trips and plan your follow up for repeat business.

Note: this report will not indicate if trips have been cancelled: just that trips have been booked during the selected duration. We recommend looking up account numbers in your system to confirm a reservation has been completed successfully prior to reaching out.

  4. Enter a name in the ‘Template Name’ field
  5. Select the Service Type associated with this ReadBack Script template. You can Select All or choose specific service types (ex. you might have a different ReadBack Script for Airport Arrivals explaining grace periods, meet and greet instructions, fees, etc.)
  6. Enter the text for your ReadBack Script and insert the relevant Trip Tags for dynamic content.

Use Cases for ReadBack Scripts

  • Remind your customer service representatives to collect flight information on Airport Arrivals/Pick-Ups.
  • Communicate the specific vehicles associated with a Service Type (ex. Please make sure to only assign 40-pax, 44-pax, or 55-pax shuttle/bus on Charter trips).
  • To serve as a general checklist for your reservationists on certain trip types (ex. remember to collect the PO numbers from bookers who call in for Medical Transportation).

While we know that operators treat all of their clients like they are VIPs, we also recognize that some clients may have additional expectations when it comes to amenities and services. Using the Account Priority setting in Limo Anywhere can help to draw attention to these clients in your dispatch grid and in your reporting.

There are three priority levels available: Normal, VIP, and VVIP. Setting Account Priority

When you are setting up a new account, you can select the Priority Level at the time of account creation. Limo Anywhere allows you to group multiple reservations together using the Linked Reservation feature. You can use this functionality to show linked reservations on forms or replicate changes to multiples reservations.

View Linked Reservations

  1. Open a Reservation
  2. In the top right of the reservation, click ‘Link
    Note: ‘Link’ will be in red if there are reservations already linked. ‘Link’ will be in black if there aren’t any linked reservations.

Remove the Link Between Reservations

  1. Open a Reservation
  2. In the top right of the reservation, click ‘Link

  4. Click ‘Remove Link Between Selected’ to remove the link between the reservation(s)

Link Reservations

  1. Open a Reservation
  2. In the top right of the reservation, click ‘Link
  3. Click on the ‘Link Reservations’ tab
  4. You will see a list of the unsettled reservations in your system
  5. Select the check box for the reservation(s) you want to link.

Replicate Changes on Linked Reservations

You can replicate the changes made on reservation across all or select linked reservations. This allows you to batch update multiple reservations easily.

The data from a reservation you can update to other linked reservations is:

  • Bill To
  • Booked By
  • Passenger
  • PU Date
  • PU Time and All Other Times
  • Routing Information
  • Number of Passengers
  • Number of Luggage
  • Trip Notes and Notes Settings
  • Customer Rate Information
  • Service Type
  • Vehicle Type
  • Affiliate Assigned
  • Affiliate Rate
  • Driver
  • Car Assigned
  • Group Name
  • Occasion
  • Primary and Secondary Agent Info
  • Child Seat Options
  • Referral Source
  • Payment Method, Type, and related Credit Card
  • Rental Agreement

NOTE: Once the data is copied, you will not be able to undo the changes.

To replicate changes on reservations:

  1. Open a Reservation
  2. Make sure you make the changes on the reservation that you want to update on the other reservations
  3. In the top right of the reservation, click ‘Link
  4. Click on the ‘Replicate Changes’ tab
  5. Under ‘Replicate information to:’ select ‘All Linked Reservations’ to replicate to all or ‘Only Selected Linked Reservations’ to replicate to only select reservations
  6. Under ‘Select Data to Replicate’, check the box right of each data point you want to replicate to the other linked reservation(s)
  7. Click the ‘Replicate Information’ button to make the updates to the other reservations.

Search Reservations on the ‘Linked Reservations’ Screen

  1. Open a Reservation
  2. In the top right of the reservation, click ‘Link
  3. Select the tab you want to search on based on what action you are trying to take for this reservation
  4. You can search for specific information and/or a date range
    1. If you’re searching for specific information, enter your details in the ‘Search For’ field and select which field on a reservation that you are searching for in the ‘Search In’ drop down
    2. If you’re searching for reservations in specific date range, select the ‘Date From’ to ‘Date to
  5. Once you’ve entered in the information and/or date range you want to search for, click ‘Go

We have several noteworthy items to share.

First, we have heard from you that expanded support coverage and tools are essential areas we can and should further invest in to provide best-in-class support.

Based on this feedback, we are pleased to announce that we have officially expanded our support hours to include 7a-7p US Central Time on weekends, in addition to the 7a-7p weekday coverage and after-hour callbacks we already have in place. Additionally, at the push of a button, you can now choose to leave a voicemail or schedule a callback in the event you do not wish to wait for a representative during times of high call volume.

Later this month, we will roll out a new customer feedback platform to aggregate market needs and provide greater transparency into our current and future roadmap priorities.

Further, the performance of the Limo Anywhere system and its solutions has and will remain our top priority. We have been making significant investments to augment our infrastructure to keep pace with the ever-increasing demand.

We, and more importantly you, have undoubtedly observed an increased level of performance and responsiveness within Limo Anywhere as of late, which is a testament to the time and investment made over the past several months.

We have also rolled out a new billing system that comes with many added benefits, including the opportunity for Limo Anywhere customers to pay via ACH debits for their software subscriptions, as well as a new online form to update your card and account information in our system. With this transition of billing systems, state taxes (if applicable) will also be included on your monthly invoices moving forward.

In addition to these significant investments in infrastructure and support, we have also recently released several top customer needs, including but not limited to:

  • A new native mobile version of Limo Anywhere (iOS – Android)
  • A state-of-the-art new passenger app
  • New payment capabilities through Stripe and Square
  • The ability to re-farm trips received by demand partners
  • Bi-directional integration with GNet
  • Expanded automation and integration tools through Zapier

 

…and many more you have hopefully read about in our weekly release notes.

Furthermore, we are focused on delivering new products based on your feedback;

  • We will be expanding our reporting and analytics module to provide you with a dashboard to quickly view your business performance and new report types.
  • We are upgrading our user interface in multiple areas of the software to provide a modern and improved look and feel.
  • We are designing a new, industry leading customer facing booking engine (ORES 5) that incorporates many new features frequently asked for by our customers.
  • We are deepening our integration with our partner AddOns to provide a more seamless customer experience.

In the past, whenever users needed help with a billing issue related to their Limo Anywhere accounts, they would call our billing department at 888-888-0302 x3 or email billing@limoanywhere.com. While you can still use these resources as needed, we are happy to announce that we are now offering a self-service billing portal for your convenience. You will be able to make payments, access and print current or past invoices, and manage or update your payment information, whenever it is convenient for you.

The new billing portal is an opt-in feature. If you would like to take advantage of this new option, please follow these steps:

1. Request access

Users don’t automatically have access to the portal. To get it, email billing@limoanywhere.com and include your company name and company ID.

2. Set up your account

You will receive an email from our billing department within a few days. The email will contain your login information and a link to the account setup. Be sure to complete the setup quickly because the link expires in 24 hours.

3. Log in to the portal

Once you have completed the account setup, use the following link for any billing tasks:

4. Password security

As with any account that stores financial or sensitive information, choose a unique, difficult-to-guess password. Please keep your password in a secure place because Limo Anywhere Support cannot provide it to you or reset it.

If you do forget it, you can use the “Forgot Password” link on the login page. If you are not able to successfully reset your password, please email billing@limoanywhere.com from the email address you are using for the billing portal with your company name and company id. Your account will be reset, and you will need to complete the setup again.
