Quick-start checklist

  1. Embed a form on your site
    • Copy the script from Lead Forms and place it on the page.
    • Set Inner Element ID and Outer Selector (ancestor).
    • Whitelist domains in Lead Quote → Settings → System settings → Whitelisted Hosts.

  2. Validate email domain

Email, Email, Email for Monthly Communication 

One of the easiest ways to communicate with customers is via email. Everyone’s got an email address! Set up a monthly customer email where you share success stories, interesting updates to the business, any community-based initiatives you’re doing, or any notable employee recognitions. Customers relate well to emails that aren’t too heavy with minutiae but are helpful, easy to read, and provide some sort of CTA (call to action), which can be as simple as “click here to read more” about a blog on your website, for example.

First off, all of us at Limo Anywhere hope you’re healthy and safe, and we wish you strength and courage during this difficult period. In light of the ongoing COVID-19 pandemic, we thought we’d share a series of Limo Anywhere software tips to help your organization get through these unprecedented times, and also perhaps improve your company’s ground transportation management.

To kick things off, we’ll share tips on how to settle a reservation using Limo Anywhere software.

How to Settle a Trip

Settling a reservation allows your drivers, agents, and affiliates that have pay schedules set up within your system to have their pay correctly calculated in the \’Payables\’ section. Settling a reservation is the process of finalizing trip information such as Rate, Passenger/Billing Contact Name, Payment Method, Driver, Vehicle Type, and Car.

Please Note: A reservation has to be paid in full or set to \’Direct Bill/Invoice\’ in order for it to be settled. All trips that are completed by the drivers must be set to the \’Done\’ status.

How to Settle a Trip Instructions:

  1. Click the \’Settle\’ icon on the toolbar.
  2. Select the \’Done & Unsettled\’ tab.
  3. Click the gray \’Settle\’ button to the right of the trip you would like to settle.
  4. Verify that the information including the Passenger and Billing Contact name, Payment Method, Driver, Vehicle Type, and Car are correct.
  5. Adjust any Trip Times as needed.
  6. In the bottom half of the settlement window, the Customer Rate Data is displayed. Make any necessary changes to the final changes for the trip under the ‘Primary’ and ‘Secondary’ tabs.
  7. Click the ‘UPDATE’ button.
  8. If your company is logging the \’Driver Payroll\’ with Limo Anywhere click on the 1st Driver Payroll button to insure the drivers pay is correct. If a pay rate has not been applied, or an incorrect pay rate is displayed; click the \’Apply Pay Rate\’ drop-down box and select the applicable Pay Schedule for this trip. You can also set up the pay on a case-by-case basis by manually applying the desired changes.
  9. If there is a second driver on the trip that needs to have their pay logged, click the 2nd Driver Payroll button, and repeat the above process.
  10. Click the \’UPDATE\’ button.
  11. If an Affiliate or Agent is assigned to this trip, click on the Affiliate & Agent Pay button. If not, skip to step 12. The Affiliate Pay Data and Agent Pay Data tabs are illustrated below. Review any data entered, and make any changes needed. Click \’UPDATE\’ to save those changes.
  12. Click the ‘SETTLE’ button.

Data security is an ongoing concern for all of us, both in our personal lives and our businesses. It seems that every month another news story comes out about a major retailer or financial institution or online platform whose security has been breached.

At Limo Anywhere, data security is on the forefront of our operations and is a primary factor in all of our projects, both from an engineering and infrastructure standpoint. We take it extremely seriously and invest significant time and money to protect our customers and their data.

PCI DSS Certification

We know this term gets thrown around a lot, but it holds a lot of weight. Companies that are capable of achieving this level of security certification have gone to great lengths to do so. A third-party security assessor runs regular penetration tests from outside our network to see if they can gain access to any of our data or any of our servers, testing for vulnerabilities such as SQL injection, cross site scripting, and many others.

This certification also requires that we encrypt all data pertaining to passwords or account information. Additionally, we must conform to their requirements of web communication protocols. Although everyone considers SSL (secure socket layer) very secure, it has not been secure for several years. And even the early versions of TLS (transport layer security) are no longer considered secure. We update our communication protocols regularly to ensure we are always transmitting data securely.

After the external security scan is complete, we give our “white hat” hackers access to our network and let them try to attack us from the inside. This attack assumes that the bad guys have infiltrated our network and are now trying to attack us from within. Although real hackers would not have this information, we provide IP addresses of all of our servers so they can try to penetrate each one directly. This test is intense and serious, and any issues found must be resolved before our certification is renewed.

Network devices

We have an intrusion detection device on the forefront of our network. This device inspects each request entering our network from the public internet and determines whether it is malicious or not. If the request is found to be some sort of attack or hack, the IP address that issued the request is shunned for 24 hours, and no more requests will be allowed into our network for that period of time while we investigate. This very effective device is updated regularly with known attack patterns and any other identification information.

Segmentation

By default, servers and devices in our network are segmented into different groups that cannot see each other. This access is not only by IP, but also by network port, so even if a server is compromised, it can only talk to other servers (and ports) that were explicitly allowed. We undergo network segmentation tests every quarter as part of our PCI compliance certification.

Allowed external access

The only way our customers and partners are given functional access to our system is through APIs. Providing API access allows us to expose only the functionalities and data that we desire. Nobody has access to our data; even our tightly-integrated parent company is required to access Limo Anywhere through our APIs.

Physical Security

Access to our office and data centers is strictly controlled on an as-needed basis. All access points require a digital proxy card or biometrics (or both) to access. All visitors are logged and escorted at all times.

Backups

In addition to the security involved in protecting our customers’ data, we also employ thorough backup procedures to ensure that data is not only secured, but also kept safe in the event of hardware failures and data corruption.

Backup begins at the storage level. For our storage solution, we have a SAN (storage area network) in each datacenter. SANs, by nature, use RAID technology to shield our operations from hard drive failures. We can experience multiple hard drive failures simultaneously and everything will continue to work normally while those failed drives are replaced and rebuilt in the background.

In addition, we perform both file system and database backups of all servers and databases. These backups are encrypted and are stored in multiple locations – locally on the host, on a different host in the same datacenter, on a different host in the DR datacenter, and also on tape backup media.

Furthermore, all database backups use a log shipping approach to keep the DR database server in sync with the production database in case it needs to take over live traffic. Our backup solution has 4 levels of redundancy, including offsite tape storage, and also provides a point in time restore so we can protect the system from data corruption.

This week Limo Anywhere would like to help their users think outside the box. Limo Anywhere has a feature called Read Back scripts, that was designed for employees that were taking reservations over the phone. These Read Back scripts give employees the ability to read back the script or summary, so they can provide the best service and ensure that everything on the trip is correct.

Although Read Back Scripts can be used just for calls, we recommend our users to think outside the box and perhaps look into using them as an Alert Type System.  Now to reiterate, Read Back Scripts were not initially designed for so this, so it may not work exactly how you want it, but you could try to use it to your advantage. Here are the following tips how you can set up Read Back Scripts as Alerts:

 

  • Go to My Office> Read Back Script Templates and give it a name. Select the Service Type this is going to apply to; this step is crucial as it will determine which Read Back Script will pop-up.
  • If you create a script/alert that applies to all cases, “Select All.”
  • If you have several different scripts/alerts to pop-up depending on the Service Type. Fill in the script/alert you want to pop-up.
  • Use the orange tag if you need it to display data/info from the actual reservation and Save it.
  • Read Back Scripts will pop-up on the reservation when saving. You can have them pop-up on First Save or all Saves, to adjust that setting, you can go under My Office>Company Prefs>Reservations. By doing this, the designated script/alert will pop-up on the screen, and the user will have to acknowledge to continue.

 

Types of alerts you could use it for:

  • Making sure required and pertinent information is gathered for specific Service Type, like may need flight info for Airport runs or sending out a contract for a Wedding/Prom
  • Have a crucial internal announcement/alert that everyone needs to be aware of (create one and turn it on for a week)
  • Alternatively, just a checklist for an employee

For the past two weeks, we have provided our users with tips and tricks to improve their Limo Anywhere skills. This week we want to focus on the Global Search tool.

To get started it is quite simple, all you have to do is go on the Global Search bar at the top and type in Conf #, Acct #, Company, and Billing Contact or Passenger Name to search through the system. Automatically, up to 500 results will appear on the screen in chronological order. The results can vary from earliest to latest or latest to earliest. If you would like to change the order or set up your criteria, you can go under My Office>Company Prefs>General.

One of the greatest things about Global Search is that it can also provide links to Reservation, Settlement, Payments, Email/Fax, Invoice, and Payroll, only if you have included the information on the invoice or payroll log. Another helpful tip is that you can search Quote requests because a Quote is essentially an unconfirmed reservation. You can click to Hide Reservations or Quotes to help you as well.

Also, do not forget our tips on multi-tabs, you can open several of your search results on new tabs, and view or work on reservations, invoices, and payrolls all at the same time.

Multi-tabs can be classified as a primary tool, but with the right knowledge, it can easily leverage your Limo Anywhere skills. Learn how you can manage reservations, view data forms on accounting, run reports, and so on, with just a few clicks here and there! Here are some general tips on multi-tabs that can make your Limo Anywhere experience faster and easier:

 

  • To open a link or section in a new tab, it is as easy as clicking the middle scroll button on a mouse, or right-clicking on your mouse, and selecting \”Open Link in New Tab.\” You can also CTRL + ALT+Left Click to open a new tab. If you are a Mac user, you can CTRL+Option+ Left Click for a new tab to open. For Mac users, middle-clicking can be set up, and you can find instructions online.
  •  Multi- tabs are great when you\’re working with reservations. Let\’s say you have several reservations you need to view, edit, and manage them quickly. Appreciate and you! You can open five different reservations in separate tabs, and you can complete your tasks efficiently. Remember, you can also do the same with varying sections of Limo Anywhere, you can switch back and forth.
  •  Lastly, as most of you may know, we recommend you keep your Dispatch section open at all times in a different tab. You can keep track of rides, and then do work on different parts of the system.
