Quick-start checklist

  1. Embed a form on your site
    • Copy the script from Lead Forms and place it on the page.
    • Set Inner Element ID and Outer Selector (ancestor).
    • Whitelist domains in Lead Quote → Settings → System settings → Whitelisted Hosts.
    • Test submit; confirm expansion/resizing via expander.php (avoid hand-built iFrames).
  2. Validate email domain
    • Addons → Settings → Domains → Add New Domain → add records → Validate Domain (DNS can take up to ~48 hours).
  3. Configure Selection Factors
    • Start with Time of Day, Zone surcharge, Booking method, and inventory-based rules; add holiday/event logic.
  4. Set Auto-Quote Blocking

Whether you’re dealing with delays around town, picking up after domestic flights, or managing international arrivals, adding wait times ensures fair compensation for both you and your chauffeur. This blog covers setting your wait time rates, establishing grace periods, and how chauffeurs can start and end wait times in Driver Anywhere.

Configuring Wait Time and Grace Periods

  1. Click “My Office” in the Navigation Bar.
  2. Navigate to the “Company Settings” Tab.
  3. Select “Company Preferences” from the left-hand menu.
  4. Click “DriverAnywhere.”
  5. Select the appropriate rate from the “Map to Rate” section.
  6. Set the per minute rate for each Vehicle Type that you intend to charge Wait Time for.

7. Set the grace period for your different transfers (non-airport transfers, domestic arrivals, and international arrivals).

8. Scroll to the bottom of the page and select “Update my Company Preferences” to save changes.

Initiating Wait Time in Driver Anywhere

  1. Once a driver has updated their status to “Arrived” in Driver Anywhere (or to any status that is mapped to the “Driver is Waiting at Pickup” section of the Driver Flow), an option will appear that allows them to initiate Wait Time. For more information about the Status Mapping in your system, check out our recent blog on the topic: Utilizing Custom Statuses In Limo Anywhere.

2. Once Wait Time has started, drivers can either stop Wait Time by selecting “STOP” at the top of the app screen or by changing their status to the next workflow phase.

3. Note: If a driver attempts to initiate Wait Time within the allotted grace period, they will be notified and will be unable to start wait time until the appropriate amount of time has elapsed.

In a recent system update, we introduced an enhancement to our List Management feature—the ‘Arranged By’ field. This improvement grants operators the power to add, edit, or remove entries within their ‘Arranged By’ list, ensuring that unwanted duplicates or outdated information can be removed from Limo Anywhere to create a cleaner user experience for your reservationists.

Using the ‘Arranged By’ Field”

Operators can use the ‘Arranged By’ field on reservations in a number of ways. Whether that’s tracking the booking method for reservations (ex. email, phone, text) or monitoring who took an action external to Limo Anywhere (ex. confirmation calls to affiliates, special events). It is also a useful function when managing situations where a shared login might be accessing your system to manage reservations (ex. answering services or temporary employees).

Adding ‘Arranged By’ Field Options

You can add data to the ‘Arranged By’ field in two ways either in the List Management section of Limo Anywhere or by adding the information in a reservation.

List Management

  1. Select ‘My Office’ from the navigation bar and click the ‘List Management’ tab.
  2. Select ‘Arranged By’ from the left side of the screen.

3. Click the ‘Add New Arranged By’ link at the top right of the Arranged by Listing screen.

4. To inactivate a listing item click the blue linked item you want to change and select ‘Inactive’ from the dropdown.

5. You can also update information by entering new information in the field and clicking ‘Update’ or you can remove an entry from Limo Anywhere altogether by clicking the ‘Delete’ button.

In a Reservation

  1. When entering a new reservation, scroll down to the ‘Arr. By’ field.
  2. Enter the desired text into the field.
  3. Once you click ‘SAVE RESERVATION’ the system will add the new information to the List Management section of Limo Anywhere.

Efficiency and organization are crucial for the continuous success of your operation, regardless of its size. The Occasions functionality in Limo Anywhere is often overlooked by users. This blog post will highlight how users can leverage Occasions to enhance marketing efforts and generate valuable reporting data.

Occasions vs. Groups:

Both occasions and groups are optional when booking a reservation but offer additional valuable data for reporting, analytics, and marketing insights. The key difference is that Occasions are used more generically (e.g., Christmas Party, 16th Birthday, Retirement Party, Super Bowl) and can be applied to multiple clients. On the other hand, Groups are more specific and are limited to a single client (e.g., Company Conference Q1 2024).

Adding an Occasion

Limo Anywhere doesn\’t have any pre-populated Occasions available in the system, but companies can create as many Occasions as are appropriate for their business.

  1. Click the ‘My Office’ icon in the navigation bar.
  2. Select the ‘List Management’ tab, then choose the Occasions button from the lefthand menu.
  3. Click the ‘Add New Occasion’ link at the top right of the screen.
  4. Enter the Occasion Name, a brief description of the Occasion, and change the status dropdown to ‘Active.’
  5. Click the ‘Create’ button to save.

 

Editing or Deleting an Occasion

  1. Click either the linked Occasion Name or Description for the Occasion you want to update.

  1. Make the appropriate changes to the Occasion Name or Description and click the ‘Update’ button to save.
  2. Select the ‘Delete’ button to remove an Occasion from your Limo Anywhere System.

Note: Deleting an Occasion will remove the ability to report on that Occasion. If you have an Occasion that you no longer intend to use but would like to keep legacy data, you can choose to set the status of that Occasion to ‘Inactive’.

Utilizing Occasions in Reporting & Analytics

You can filter data by Occasion on the following reports:

  1. Sales Revenue Report:

You can use the Sales Revenue Report to get an overview of reservations associated with a particular occasion (ex. grand total of all reservations, total number of hours, average rate per trip, and total number of trips). You can use additional filters in this report to view more detailed information (ex. Vehicle Type, Driver, Car, how many were Cancelled, marked as a Late Cancel, etc.)

If you choose ‘MS Excel’ from the Output Format dropdown, the exported report will include the Passenger Emails, which can be utilized for tailored marketing efforts.

  1. Reservation Manifest

When planning for large upcoming events, you can generate a Reservation Manifest by ‘Occasion’ that you can share with bookers, event coordinators, etc. that provides detailed information regarding all upcoming reservations during a specific timeframe (ex. generating a reservation manifest to provide detailed information regarding an upcoming 50th Anniversary celebration).

Simplifying Reservations with Limo Anywhere’s Points of Interest

Points of Interest (POIs) are the go-to places where our customers frequently get picked up or dropped off. These include locations such as stadiums, concert venues, hotels, or restaurants, but there’s no limit to the number of categories you can create in Limo Anywhere. By utilizing POIs in Limo Anywhere, entering frequent addresses becomes a straightforward task, enhancing the accuracy of the data entered into a reservation. In this blog post, we’ll delve further into the technical aspects of leveraging POIs to streamline your operations and make your workflow more efficient.

Adding a POI

There are two ways to add POIs to your Limo Anywhere:

  1. Adding a POI as a Company Resource
    1. Click the ‘My Office’ icon and navigate to the ‘Company Resources’ tab.
    2. Select ‘Points of Interest (POI)’ from the left-hand side of the screen.
    3. Choose the appropriate Parent Category from the dropdown menu. To add a new category, select the ‘…’ button and enter the desired POI type.
    4. Enter the name and address information for the new POI.\"\"
    5. (Optional) Enter any Special Instructions/Directions related to the POI.
    6. Click ‘ADD NEW POI’ to save the entry.
    7. To choose how POIs appear in your Limo Anywhere system select either ‘Categorized’ or ‘Listed’ in the Show POI list dropdown, then click Save.
      1. Choosing ‘Categorized’ organizes your POIs by their category and lists your POIs in alphabetical order within their category.
      2. \"\"Choosing ‘Listed’ displays all POIs in alphabetical order.

  1. Adding a POI during the Reservations Process
    1. When entering the routing information for a reservation, click the POI tab.
    2. Before adding a new POI, confirm that it isn’t available in the Points of Interest dropdown.
    3. Enter the Location Description/Name
    4. Ensure the ‘Save as POI?” box is checked.
    5. Select a Category from the ‘Save to category:’ menu.
    6. Enter the routing information for the POI (Street Address, City, State, Zip Code)
    7. Select the appropriate radio button for the POI you’ve created (Pick-up, Drop-off, Stop, Wait) to save the POI in your system.

Editing or Inactivating a POI

Circumstances may arise where updates are necessary, whether it\’s a local hotel undergoing a rebrand or a business permanently closing its doors. In Limo Anywhere, you have the ability to edit or inactivate any of your POIs, ensuring that your system contains the most up-to-date information.

To Edit a POI:

  1. Click the ‘My Office’ icon and navigate to the ‘Company Resources’ tab.
  2. Select ‘Points of Interest (POI)’ from the left-hand side of the screen.
  3. Select the POI you want to edit from the list and click the ‘EDIT POI’ button.
  4. Make the appropriate updates (ex. new business name, updated routing information, special instructions/directions, etc.)
  5. Click ‘UPDATE POI’ to save your changes.

 

To Inactivate a POI:

  1. Follow steps 1-3 in the process above.
  2. Choose ‘INACTIVE’ from the Status dropdown menu.
  3. Click ‘UPDATE POI’ to save your changes.

When it comes to managing your operation, there’s no one-size-fits-all solution. Whether it’s utilizing unique scheduled messaging, customizing your  service types, or even fine-tuning account settings — your business is unique, and your tools should reflect that. Did you know that you have the power to not only customize how account numbers are assigned in your system but also the specific information you need when setting up new accounts? In this blog we’ll guide you through how to set up custom account numbering as well as guide you through the steps to require specific account information during setup.

Accessing Account Number Settings

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select “Company Preferences” from the Company Settings tab, then click the “Accounts, Calendar, Quotes” button from the lefthand menu.

There are two options available under the “Customer Account Numbers:” field: System Generated or Manually Entered.

By default, the system is set to “System Generated” and “Begin at 30000”, but your system can start with any number you prefer. System Generated numbers means anytime a new account is created Limo Anywhere will assign the next available account number (ex. 30000, 30001, 30002…, etc.)

Note: If you choose the “System Generated” option, you are only allowed to enter numerical values in the “Starts With:” field in order for the system to create numbers in sequence.

Choosing the “Manually Entered” will  require the account number be entered by the person setting up the account each time a new account is created. Manually entered account numbers can be a numerical, text, or a combination of both.

[Optional] if you’re choosing to generate your own account numbers, you can choose to allow duplicate account numbers. This would allow multiple passengers, booking contacts, and billing contacts to be assigned the same account number this linking those persons with that account number for the purpose of invoicing or reporting.

Note: These settings impact your system globally, but this setting can be adjusted at any time. For example, if you prefer to use system generated accounts for your retail clients but prefer to use a manual format when generating account numbers for corporate clients, you can always adjust this setting while creating an account you want to use a manually entered value for and then return the setting back once the account has been created.

Setting Required Account Fields

Before adding accounts, you are able to define what fields in the Account Profile are required before the Account can be saved.

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select “Company Preferences” from the Company Settings tab, then click the “Accounts, Calendar, Quotes” button from the lefthand menu.
  3. Click the “Required account fields” link.
  4. Information is broken up into two categories, Account Info type and Financial.
  5. Tick the boxes for each of the pieces of information you want to require when an account is created.
  6. Click the “Update Account Required Fields” button to save changes.

For example, when setting up a new account, you might want to require that every contact requires a phone number and an email, or maybe you want to ensure that each account is created with a valid form of payment, you can select “Pmt Method”.

Note: this setting is also global, so you may not want to require a Company Name unless you do almost exclusively corporate work.

Using the ReadBack Script functionality available within Limo Anywhere is an excellent way to ensure that crucial information is effectively and accurately communicated to your customers when booking over the phone. ReadBack Scripts give employees the ability to read back a summary of the trip to ensure everything is correct.

In this blog we’ll cover how to enable ReadBack Scripts, how to set up the specific scripts you wish to use, and how frequently they appear to your reservationists.

Enable ReadBack Scripts

  1. Click the ‘My Office’ icon in the Navigation Bar
  2. Select the ‘Company Settings’ tab.
  3. Click the ‘Company Preferences’ button, then select the ‘Reservations’ button.
  4. There will be two settings related to ReadBack Scripts: ‘Produce ReadBack script on first save’ and ‘Produce ReadBack script on all saves”.
    1. Select ‘Yes’ from the dropdown on the option most appropriate for your company.
  5. Click the ‘Update My Company Preferences’ button at the bottom of the screen to save changes.

Creating ReadBack Script Templates

ReadBack Scripts are dynamic and can populate with unique reservation data by using the available Trip Tags in the system.

  1. Click the ‘My Office’ icon in the Navigation Bar
  2. Select the ‘Company Settings’ tab.
  3. Click the ‘ReadBack Script Templates’ button
  4. Enter a name in the ‘Template Name’ field

In a previous blog post, we discussed some of the ways that you can utilize scheduled messaging to communicate with your drivers, clients, and affiliates, but there are a number of other tags available to help you communicate important information.
For example, if you have specialty vehicles in your fleet that your drivers might need additional information about, or you have vehicles to use a different trip pre-check process than your sedans and SUVs, or maybe you repairs pending on a vehicle and you want to advise your drivers to be aware of an issue in the meantime. In those instances, you can use scheduled messaging to relay the vehicle notes to your driver.

Adding a Note to Vehicles In Your Fleet

1. Navigate to My Office > Company Resources > Fleet and select the vehicle you would like to add a note to.
2. Enter your information in the Notes field and click “Update Vehicle” to save changes.

Creating a Scheduled Message
1. Navigate to My Office > Company Settings > Messaging & Template Settings . Scheduled Messaging
2. Choose Email or SMS from the drop-down
3. Click “Add New Template” or choose the Template you would like to Edit.
4. Populate the appropriate settings in your Template based on your scheduling preferences. Messages can be linked to status updates or a certain timeframe prior to the PU (Days, Hours, or Minutes)
5. Enter in the appropriate content and tags in the text field.
a. In this example, the tag for the Vehicle Notes is #TRIP_CAR1_NOTES#, but you can also choose from a list of custom tags based on your exact need by clicking the yellow tags icon at the top of the text field.

6. Based on the parameters set in your scheduled messaging, your driver will receive a text or email with the information you’ve provided.
a. If no note has been added to a Vehicle, that portion of your message will remain blank and will only populate if there is data associated with the tag.

Establishing and Managing Airports in Limo Anywhere

Limo Anywhere comes with most United States commercial airports established in the system (The Airports initially loaded in the system are marked as ‘INACTIVE‘ by default).

  1. Click on the ‘My Office’ icon on the toolbar.
  2. Open the ‘Company Resources’
  3. Select the ‘Airports’ button as illustrated below.
  4. To activate an Airport select it from the list and click ‘EDIT AIRPORT’.
  5. The prepopulated airport code should never be changed.
    1. NOTE: Airport codes are used throughout the travel industry and are universally accepted. In addition, in Limo Anywhere they are used to define Zones for the company’s fixed rate structure.
  6. The State the Airport is in can be populated from the drop-down list.
    1. NOTE: This is optional. Using the State can be helpful especially if the company serves across state lines and tax rates are set up for Pick Up/Drop of locations in that State.
  7. The Airport can be either LOCAL (default) or NON-LOCAL.
  8. If the Airport is to be ACTIVE change the Status on the drop-down list from the NON-ACTIVE (default).

 

Adding an Airport to Limo Anywhere

  1. In the ‘Add Airport‘ box:
    1. Enter the Airport Code.
    2. Enter the Description
      1. The description is usually the full name of the Airport.
    3. Select the State/Province from the drop-down list.
    4. Select LOCAL/NON-LOCAL in Local?
    5. Select ACTIVE/INACTIVE in Status.
    6. Click ‘ADD NEW AIRPORT‘ to save any data entered.

 

Create and Manage Airport Pick-Up Instructions

  1. To Add Pick-Up Instructions
    1. Click on the ‘My Office’ icon in the toolbar.
    2. Open the ‘Company Resources’
    3. Select the ‘Airports’
    4. Select an Airport from the ‘Airports’
    5. Click the ‘Edit Airport’
    6. Enter a ‘Short Title’ (20 characters maximum).
    7. Enter the ‘Instructions’.
    8. Select the ‘Dflt’ check box to make these the default instructions.
    9. Keep the ‘Status’ set to ‘ACTIVE’.
    10. Click the ‘ADD’ button to save what was entered.
  2. To Edit Pick-Up Instructions
    1. Select the Airport from the ‘Airports’ list that you wish to change the instructions on.
    2. Click the ‘Edit Airport’
    3. Select the instructions from the ‘Stored Pick-up Instructions’
    4. Click the ‘EDIT’
    5. Modify the ‘Short Title’, ‘Instructions’, ‘Dflt’ and/or ‘Status’ fields as needed.
    6. Click the ‘UPDATE’

 

Setting Up Airport Meet Pricing in Limo Anywhere

Depending on your customers’ needs and the airports in service area, you may want to set up different fees associated with curbside and inside pickups. To setup your Airport Meet options follow these steps:

  1. Click on the ‘My Office’
  2. Click on the ‘Company Preferences’
  3. Click on the ‘Reservations’
  4. Scroll down to the Pickup Fee section.

  1. Update your pricing, label, and the rate line item you want these fees to be associated with when the rate is applied.
    1. If you don’t have an existing rate line item you want to use for your Airport Meet option, you can create the desired fixed rate line item in the System Rate Manager
      1. Click on the ‘My Office’ icon in the toolbar.
      2. Select the ‘Rate Management’ tab.
  • Select the ‘System Rate Manager’ button.
      1. Open ‘System Rate Manager’.
      2. Select the ‘Fixed Rate’, ‘Multiplier Rate’, or ‘Percentage Rate’
      3. Select the proper ‘Rate Group’.
      4. Enter the ‘Rate Name’.
      5. Add the ‘Default Amount’ ONLY if you need the rate to apply to all customers, no matter the trip type.
      6. Remove the check on the box labeled ‘Primary Rate’ if you would like this rate field to be stored on the ‘Secondary Tab’ in reservations/settlement screen.
      7. Click the ‘Save’ button.

     

    Your Label can be updated to reflect what your company prefers to call these various services (ex. Baggage or Meet and Greet as opposed to Inside).

Promo Codes and Miscellaneous Fees allow you to increase revenue without increasing your overhead costs.

Promo Codes

If you would like to market your company in your local area, consider Promo Codes. When something special is happening in your city, you can create a code that will capture business from the event. Concerts, wine tours, proms, holidays, and college and professional sports games are all great examples of when to use a Promo Code. Offer a 5 or 10% discount to drive sales or set up a limited time offer that will increase demand during a given time. Once the has been set up in the system, list your new Promo Code on your company website and be sure to include it in your other marketing materials and promote it on social media.

Miscellaneous Fees

Similarly, Miscellaneous Fees are a fantastic way to add to your bottom line. Setting the fees up is simple, and they can be part of your regular fee schedule. Examples of common fees include Car Seat Fee, Holiday Fee, and Off-Peak Fee. For car seats, companies often charge a flat fee that ranges anywhere from $10-$25. During the holidays, the upcharge can range from $15-$50. Some companies charge for every calendar holiday, while others only charge for Thanksgiving, Christmas, and New Year’s Day. For the Off-Peak Fee, $25 is the most common amount charged, though some businesses charge as much as $50. The time of day that this fee is imposed varies from market to market.

When deciding whether to add Promo Codes and Miscellaneous Fees, do research in your service area. Check out event calendars and keep up with local happenings. Don’t be afraid of trying out a new promotion. Also, find out what types of fees are being used by your competitors. Call in to book a ride and ask about special services. Mention traveling with a child or booking on a holiday. Once you have information regarding the practices of your local affiliates, you can feel confident adding your own fees and upcharges or offering discounts and easily increase your revenue.
