With Limo Anywhere you can easily adjust for peak travel dates, add flexible fees, and create promotions that help you stand out while staying profitable.

Promo Codes

Promo Codes are a simple and effective way to drive bookings around holidays, concerts, or local events. You can offer percentage-based or flat-rate discounts to encourage new reservations and reward returning clients.

Example: $30 off Airport Transfers during Christmas and New Year’s Week

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select the “Rate Management” tab.
  3. Click “Special Promotion Set Up” in the left-hand menu.
  4. Click the “Add New Promo Code” button.
  5. Enter a name in the “Promo Code” field (ex. HOLIDAY2025).
  6. Check the “Is Discount” box.
  7. Choose the Service Types you want the discount to apply to (for example, “To Airport” or “From Airport”).
  8. Set the date range for your promotion and add a description.

9. Once you’ve added your new promo code, navigate to the “Promo Discounts” tab.

10. Select your newly created code from the list and click the “EDIT” button.

11. Enter the discount amount, either as a flat rate or percentage.

12. Click “Add Rates” to save

Once your promo is active, promote it across your website, social media, and marketing materials to maximize visibility.

Miscellaneous Fees

Miscellaneous Fees let you build small but impactful add-ons into your pricing. These might include Holiday Fees, or After-Hours Fees, each helping you reflect the true cost of service while maintaining profitability.

Example: Adding an Overnight Fee

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select the “Rate Management” tab.
  3. Click “System Rate Manager” in the left-hand menu.
  4. Click the “Add New Rate” button.
  5. Select the “Fixed Rate” tab.
  6. From the “Rate Group” dropdown, choose “Miscellaneous”.
  7. Enter a name in the “Rate Name” field (for example, “Overnight Fee”).
  8. Click “Save”.
  9. Once you’ve setup the rate, select “Miscellaneous Fees” in the left-hand menu.
  10. Click “Add New Fee”.
  11. In the “Associate with Rate” dropdown, select the rate you just created.
  12. Enter a name in the “Miscellaneous Fee Name” field.
  13. Enter the amount in the “Miscellaneous Fee Amount” field.
  14. Enter the criteria when the fee applies (date, time, routing, etc.)
  15. Click “Save” to finalize.

These small fees can add up quickly and are an easy, low-effort way to improve your bottom line.

Special Holiday Offers

Combine these tools for creative promotions. For example, you might offer a special rate on a Holiday Lights Tour or New Year’s Eve service.

Example: Creating a Holiday Lights Tour Promo

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select the “Rate Management” tab.
  3. Click “Special Promotion Set Up” in the left-hand menu.
  4. Click “Add New Promo Code”.
  5. Enter a name in the “Promo Code” field.
  6. Leave the “Is Discount” box unchecked.
  7. Choose your Service Type, Vehicle Type, and date range.

8. Once you’ve created your new Promo Code, navigate to the “Promo Rates” tab.

9. Select your newly created rate from the list and click “EDIT”.

10. Enter your rate breakdown for your all-inclusive rate.

11. Click Add Rates to save.

Creating a Fixed Rate Matrix

  1. Navigate to the “My Office” icon in the navigation bar.
  2. Go to the “Rate Management” section from the menu.
  3. Select “Fixed Rates & Zones Setup” from the options on the left.
  4. Click on “Create New Rate Matrix.”
  5. Provide a name for the new Rate Matrix in the “Enter New Rate Matrix Name” field (ex. 2025 Affiliate Rates).
  6. Hit “Create Matrix” to finalize and save your changes.

Adding Rates to a New Fixed Rate Matrix

  1. Select the “From Zone” from the drop-down list.
  2. Choose the “To Zone” from the drop-down list.
  3. Pick the “Vehicle Type” from the drop-down list.
  4. Enter the rate amount in the “Rate($)” field.
  5. Add amounts for Tolls and Parking, if applicable to this rate.
  6. Enter percentage values for the “Tax 1” and “Tax 2” fields, if applicable.
  7. Check the box for “Create a Reversed Rate” if you wish to automatically create a reversed rate for the From/To Zones.
  8. Click “Add Rate” to save the entry.

Creating a Hourly Rate Matrix

  1. Navigate to the “My Office” icon in the navigation bar.
  2. Go to the “Company Resources” section from the menu.
  3. Select “Vehicle Types” from the options on the left.
  4. Select the Vehicle Type from the list that you want to create a rate for, then click “EDIT VEHICLE TYPE.”
  5. Navigate to the “Rates” tab, then select the “Per Hour Rates” tab.
  6. Click “Add New Rate Matrix.”
  7. Enter a name for the new Hourly Rate Matrix in the “Enter New Rate Matrix Name” field (e.g., 2025 Affiliate Hourly Rates).
  8. Click “Create Matrix” to finalize and save your new Hourly Rate Matrix.
  9. Ensure the newly created matrix is selected in the “Select Rate Matrix” dropdown.
  10. Enter your hourly rate into the Std Rate field.
  11. Select the minimum number of hours from the “Minimum” dropdown.
  12. Click “UPDATE VEHICLE TYPE RATES” to save the new rates.

Applying Rate Matrices to an Account

  1. Navigate to the “Accounts” icon in the navigation bar.
  2. Search for the account you want to apply your rate matrices to. NOTE: Keep in mind whether the account is for a Billing Contact or a Passenger. If the Rate Matrix is applied to a Passenger account, it will only apply to that specific Passenger. If applied to a Billing Contact, the Rate Matrix will apply to all Passengers tied to that contact—unless a Passenger account has its own matrix applied. To apply a Rate Matrix across an entire company with multiple Billing Contacts, you’ll need to apply the matrix to each Billing Contact individually.
  3. Open the account and go to the “Financial Data” tab.
  4. Scroll to the Stored Rate Matrix section.
  5. Select the appropriate matrices from the respective dropdown.
  6. Click the “Save” button at the bottom of the page to apply account changes.

After applying a Rate Matrix to an account, the assigned rates will automatically populate based on trip details:

  • In the Online Reservation System (ORES): Rates will appear if the client books trips directly.
  • In the Limo Anywhere Core System: Rates are displayed when you click the Apply Rate button in a reservation—provided the trip matches the parameters of the Rate Matrix.

Note: This differs from manually entered Account Rates, which only appear in the Account Rates tab.

Promo Codes

If you want to attract more business during local events or holidays, Promo Codes are an excellent tool. Whether it’s a concert, wine tour, prom, holiday, or sporting event, you can create a custom Promo Code to incentivize bookings. Offer discounts, like 5% or 10%, to drive sales, or set up limited-time promotions to boost demand during peak periods.

Once your Promo Code is set up in Limo Anywhere, promote it across your website, marketing materials, and social media to maximize visibility and engagement.

Example: $30 Discount on Airport Transfers during Christmas and New Year’s Week

  1. Click the My Office button in the Navigation Bar.

For instance, car seat fees may range from $10 to $25, and holiday upcharges might vary from $15 to $50, depending on the occasion. Similarly, Off-Peak Fees typically range around $25, but some companies charge up to $50. By incorporating these fees, you can align your pricing with service demands and market conditions.

Example: Setting a Car Seat Fee

  1. Click the My Office button in the Navigation Bar.
  2. Select the Rate Management tab and click System Rate Manager in the left-hand menu.
  3. Click Add New Rate and select the Fixed Rate tab.
  4. From the Rate Group dropdown, choose Miscellaneous.
  5. Enter a name in the Rate Name field (e.g., Car Seat Fee) and click Save.
  6. Go to the Miscellaneous Fees section and click Add New Fee.
  7. Associate the fee with the rate you created and enter the amount.
  8. Save the fee to include it in your standard pricing.

Peak Pricing

During high-demand periods like the holidays, Peak Pricing helps cover the additional costs of operating while allowing you to maintain profitability. You can implement a flat-rate fee, or if you prefer, apply a percentage-based increase for specific days or services.

Example: Holiday Peak Pricing

  1. Click the My Office button in the Navigation Bar.
  2. Select the Rate Management tab and click System Rate Manager.
  3. Click Add New Rate and select either the Fixed Rate or Percentage Rate tab.
  4. Choose Miscellaneous from the Rate Group dropdown.
  5. Enter a name in the Rate Name field (e.g., Holiday Fee or Peak Fee) and click Save.
  6. Set the pricing rules in the Miscellaneous Fees section, and specify the dates for the fee to apply.

Holiday Promo Codes and Special Offers

To further drive bookings during the holiday season, Promo Codes can be used in creative ways. For example, you can create a discounted rate for airport transfers or promote special services like a Holiday Lights Tour.

Example: Special Promotional Rate for a Holiday Lights Tour

  1. Follow the same steps for creating a new Promo Code but leave the Is Discount box unchecked.

Feature 1: Holiday Peak Pricing

During the holiday season or other peak times, you might have ‘premium’ dates that you want to charge an additional fee for services. Maybe you pay your chauffeurs and office staff premium wages for working those dates and you need to cover the expense.

You can create a flat amount or percentage increase by adding a Miscellaneous Fee to your Rate Breakdown.

Start in Rate Management and choose System Rate Manger and click Add New Rate. For a flat rate, add the fee under “Fixed Rate” and select “Miscellaneous” from the drop down. It’s important to note you should leave the “default amount” blank – this will allow you to apply rules (in this case dates) to this fee, rather than having this fee appear by default on every trip.

Now that you’ve added this fee to your rate breakdown, you’ll go to “Miscellaneous Fees” and enter the rules and the amount of the fee. Some things to note here: you will need to associate this miscellaneous fee with the rate item you just added to your breakdown – this should appear in the dropdown menu. Next to that, the option for Optional or Mandatory indicates if this fee is applied automatically in ORES (yes for holiday or peak fees) or if your client must select it (useful for car seats, and the like). You can create multiple date ranges by entering one range, hitting “add,” and then entering another range and repeating.

If you’d rather do a percentage increase on these dates, the process is the same, but in the System Rate Manger you’ll enter the rate under “percentage rate” and when you set up the miscellaneous fee, the “amount” field will indicate a percentage rather than a flat fee.

Feature 2: Holiday Promo Codes

At the same time, you may be interested in creating holiday promo/discount pricing, perhaps to encourage booking during the season, but not on the holiday itself.

Did you know that Limo Anywhere gives you the ability to create promotional pricing, by setting up promo codes that will either populate a promotional rate, or apply a discount (percentage OR flat amount)?

Let’s look at a couple examples to help you think about ways to use this feature for your business:

Scenario A. You offer a $25 discount on all airport transfers during the week between Christmas and New Years.

Under your Rate Management tab, select Special Promotions Set Up and then Add New Promo Code. Enter a code, and define the desired rules. In this case, I checked “is discount” (leaving this unchecked would indicate a promotional rate, versus a discount). Then I selected the service types “To Airport” and “From Airport” so the discount applies to my airport transfers, and finally I selected a date range – December 26  – December 29, 2020. There is also a free-form text field for you to write a description of the promotion. When you’re ready, click on Add Promo Code.

Now we’re not quite done yet – you’ll notice when you first add a promo code, it will appear in red text on your list, indicating it is not yet complete. So next we move to the Promo Discounts tab to complete the discount info. Here I entered $25.00 in the Promo Discount line (this area will show any items in your Rate Breakdown that are defined as discounts). The line item where you choose to enter the discount amount associated with this promo code will determine if it is $25 or 25%. Once you’ve entered the discount value, and you click Add Rates, the discount code will appear in black text.

Scenario B. You are offering a Holiday Lights Tour service in your Sprinter during the season. You have a package price for this service, but you offer a special promotional rate of $200 from January 2 – January 8.

Again, you will add a new Promo Code, but this time, leave the “discount” box unchecked, and set any desired parameters regarding Service Type, Vehicle Type, Zip Codes, Airports, and Dates.

In this case, in taking the next step to add the pricing information, we’ll use the Promo Rates tab, and enter any info that applies in the rate breakdown.

Note that you can adjust any items in the rate breakdown, to make the total come out as desired. So if you wanted to make $200 the all-in rate, you could adjust the flat rate and the gratuity until the grand total displays the desired rate.

In our last installment, we talked about setting up promotional pricing and discounts. Miscellaneous Fees, also referred to as Criteria Based Fees, are the flip side of that coin. These fees can be used to recoup not only pass-through expenses like tolls, parking, and taxes, but also the “hidden” costs of doing business. For example, we see many in the industry using some level of dynamic pricing. While most operators don’t engage in the surge pricing common with TNCs, it is not at all uncommon to see an early morning/late night surcharge, an upcharge for trips booked on certain holidays, or weekend versus weekday pricing.

The key to making any of these line items work for you in Limo Anywhere is Criteria Based Fees. You’ll notice when setting up your itemized rate breakdown, there is an opportunity to enter a default amount. This is great when the item is universally applied, like a standard gratuity. However, many items are dependent on certain reservation details. When this is the case, Criteria Based Fees are the way to go.

In the rate breakdown, you identified if the fee is a multiplier, a percentage, or a flat amount. In the Miscellaneous Fees sections, you’ll create logical rules to tell LA when the fee might apply and the dollar amount or percentage associated with each rule. Let’s take a look at an example.

Miscellaneous Fee: There is a $4 Airport Fee for pick-ups only at a specific airport

In your rate breakdown, you included a fixed amount line item called Airport Fee. Now in the Miscellaneous Fees area, you’ll click Add New Fee, and enter the details and criteria in the box. First, select the rate item associated with the fee. In this case, I selected Airport Fee, and I made the fee Mandatory, which means that a Quote or an ORES booking will automatically include the fee on any trip that meets the criteria. And then I selected my criteria – this fee applies only to Service Type “From Airport” and only to a specific airport. I gave it a name and filled in the amount that should apply. You can see here that you can also include routing based rules, which are particularly useful in applying taxes and known tolls. Do take note that all criteria are positive/inclusive, so you cannot create a rule that would exempt certain trips from the fee.

In April 2018, the New York State Tax Law was amended to impose a Congestion Surcharge on taxi and for-hire vehicle trips that begin, end or pass through Manhattan, south of 96th street. Beginning February 1, 2019, the State will assess a Congestion Surcharge, as follows:

  • $2.50 per trip in yellow taxis
  • $2.75 per trip in For-Hire Vehicles
  • $0.75 per passenger for shared rides

The surcharge does not apply if the trip does not start and end in New York State, or if the trip is provided by or on behalf of the MTA.

State Law requires that that the Congestion Surcharge must be passed on to the passenger and may not be deducted from the driver’s pay. Additionally, State Law further requires that Medallion Owners and FHV Bases remit the surcharge to the New York State Department of Taxation and Finance.

What does this mean for some Limo Anywhere users?

If you have any trips beginning, ending or passing through Manhattan below 96th St, you will need to charge your passenger the Congestion Surcharge and remit the surcharge to the New York Department of Taxation and Finance.

 

How do I create the Congestion Surcharge?

You can create the Congestion Surcharge in Limo Anywhere under My Office>Rate Management tab>System Rate Manager.

More than likely you will add a new Fixed Rate in Rate Group: Miscellaneous with the name “Congestion Surcharge” and a default amount of 0.00.\"\"

You could also edit an existing Miscellaneous Fixed Rate in System Rate Manager if you choose to do so.

This will create a rate line item on your reservation so you can enter in the Congestion Surcharge. Many lending companies such as shinycash.com offer financial assistance and parking bills.

 

How do I run a report on the Congestion Surcharge so I know the total amount I collected?

There are a couple of different reports you can generate to get this Congestion Surcharge total. The easiest way, if you created the surcharge like above, is to run a Sales Revenue Report with Report Type: Misc Charges.\"\"

This report will total the Miscellaneous Charges at the bottom of the generated report.\"\"

 

If I use DriverAnywhere, can my driver add the Congestion Surcharge in the app?

Yes, if you map the Congestion Surcharge for use in DriverAnywhere and your driver is allowed to Edit Rate Data.

To map the Congestion Surcharge for use in DriverAnywhere, go to My Office>Company Preferences>DriverAnywhere and our suggestion would be to map either Miscellaneous 1 or 2 to Congestion Surcharge.

If you want to allow your driver to Edit Rate Data, then you can go to My Office>Company Resources>Drivers and edit the driver’s profile and go to DriverAnywhere settings. Checkmark “See Rate Data” and Edit Rate Data”. Note: this only allows them to see or edit Tolls, Parking, Miscellaneous1 and Miscellaneous 2 mapped fields above.

Now that Driver can add the Congestion Surcharge in Driver Anywhere under the “Update” screen.

In March 2018, as part of the NY State 2018-19 budget, the NY State Tax Law was modified to enforce a congestion surcharge to help fund repairs and improvements to the New York Metropolitan Transportation Authority (MTA).

In October, the NYC Taxi and Limousine Commission (TLC) implemented new regulations to medallion owners and for-hire bases to collect the congestion surcharge, as required by State Law. The amount of the surcharge depends on the type of vehicle that provides the transportation in or through the congestion zone, as follows:

  • $2.75 per trip provided by a for-hire vehicle that is not a taxi or a pool vehicle
  • $2.50 per trip provided by a medallion (yellow) taxicab vehicle
  • $0.75 per passenger for a trip provided by a pool vehicle.

State Law requires that the Congestion Surcharge must be passed on to the passenger and may not be deducted from the driver’s pay. Additionally, State Law further requires that Medallion Owners and FHV Bases remit the surcharge to the New York State Department of Taxation and Finance.

 

What Does This Mean for GroundLink Travelers?

Beginning January 1, 2019, all GroundLink rides, whose routes are scheduled to start, pass through or end in New York State and begin, end, or pass through Manhattan below 96th St, will require a surcharge of $2.75 to be added to their final receipt.
