The Company Alias Module allows you to operate under multiple brand names within a single Limo Anywhere subscription. This is ideal for operators who provide unique services to different types of clients, such as corporate versus retail, under separate business identities.

With this module, you can:

  • Track reservations by alias
  • Use different payment gateways for each brand
  • Customize client-facing documents by brand (confirmations, invoices, etc.)
  • Run alias-specific performance reports

For example, you may serve corporate clients under the name ABC Corporate Transportation and retail clients under XYZ Limousine. The client will see the appropriate company name and branding based on how they booked the trip.

To add the Company Alias module to your account, contact the Billing Department at billing@limoanywhere.com or call 972-701-8887 (option 3).

Should You Use a Company Alias or a Separate Subscription?

Use a Company Alias if:

  • Your brands operate in the same area
  • You share vehicles, chauffeurs, dispatchers, or office staff

Use a separate subscription if:

  • Your operations are based in different cities or states (for example, Dallas and Chicago)
  • Your teams and resources are managed independently

This ensures your operations remain compliant and organized without unnecessary overlap or confusion.

How to Add a Company Alias

Note: You may encounter an Internal Server Error during setup if:

  • Another company already uses the same alias name
  • You enter an incomplete or incorrect website URL (always include “https://” or “http://”)

To add an alias:

  1. Click on the “My Office” icon in the toolbar
  2. Select the “Company Settings” tab
  3. Click the “Contact Information” button
  4. Click on “Manage Company Aliases”
  5. Enter the Company Alias (this is internal only; customers will not see it)
  6. Fill in the following fields:
    • Company Name
    • Street Address, City, State, Zip
    • Country
    • Primary and Secondary Phone
    • General, Trips, Quotes, and Billing Email Addresses
    • Company Website URL (must include https:// or http://)
    • Default Gateway and Currency
    • (Optional) EIN/Business Number
  7. Check “Use Online Reservation for this Alias” if the alias has its own website
  8. Click “Add Alias”

Important: If online reservations are enabled, you must contact Support to activate the system for that alias.

How Alias Information Appears

The following fields, along with the alias logo (if uploaded), will appear on all client-facing documents generated in Limo Anywhere, including:

  • Reservation Confirmations
  • Trip Sheets
  • Invoices
  • Email Communications

Ensure that each alias is set up with accurate branding and contact details.

Editing an Existing Alias

  1. Click on the “My Office” icon
  2. Select the “Company Settings” tab
  3. Click the “Contact Information” button
  4. Click “Manage Company Aliases”
  5. Select the alias from the list
  6. Make any necessary changes
  7. Click “Update Alias”

Deleting an Alias

Warning: Deleting an alias will reassign all associated trips to the main company.

To delete an alias:

  1. Click on the “My Office” icon
  2. Select the “Company Settings” tab
  3. Click the “Contact Information” button
  4. Click on “Manage Company Aliases”
  5. Select the alias
  6. Click “Delete Alias”

When it comes to sending transactional emails like confirmations, quotes, and status updates, Limo Anywhere uses trusted third-party platforms like SendGrid to deliver those messages efficiently and reliably.

However, if your system email is set to a free address like @gmail.com or @yahoo.com, those messages are more likely to be flagged or rejected by receiving servers. Free domains can’t be authenticated, which makes them appear less trustworthy to email providers. Using a custom domain like reservations@yourcompany.com allows for proper verification and increases the chances your emails reach the inbox.

Think of It Like Mailing a Letter — with the Right Return Address

Imagine your email as a physical letter.

  • You want to send information directly to your client — whether that’s a quote, a confirmation, or an update.
  • Limo Anywhere acts like the post office, packaging the message and routing it appropriately.
  • SendGrid is the trusted delivery truck that carries it to your client’s inbox.

If the return address on that envelope is a free email like yourbusiness@gmail.com, the delivery service can’t confirm it’s authorized to send on your behalf. That’s because you don’t own the domain, so it can’t be authenticated. Many receiving servers treat these emails as suspicious or spoofed and either send them to spam or reject them entirely.

What Domain Authentication Does

Domain authentication gives us permission to send email on your behalf in a secure, verifiable way. We’ll provide you with CNAME records to add to your domain’s DNS settings. These records act like a digital signature that confirms the message is legitimate and approved.

Once your domain is authenticated, your emails are much more likely to reach inboxes, avoid spam filters, and reflect the professionalism of your brand.

Why a Custom Domain Matters

In addition to resolving deliverability issues, using a domain-based email provides key long-term benefits:

1. Branding and Professionalism

A custom email address reinforces your brand and builds trust. Sending from johnsmith@gmail.com feels informal. Something like reservations@blacktietransport.com sends the message that you’re an established, professional operation.

2. Better Email Reputation

Free email addresses share sending reputations with millions of other users. If someone else is flagged for spam, it can affect your messages too. Authenticating your domain gives you a unique, trusted reputation.

3. Control and Privacy

With free accounts, you’re bound by the provider’s terms and data policies. A business email tied to your domain gives you more control over your communications, privacy, and access.

Did you know you can use Limo Anywhere’s Scheduled Messaging to share crucial fleet information and updates with your chauffeurs? From specialized vehicle details to unique trip pre-check procedures or pending repairs needing driver attention, scheduled messaging ensures efficient communication of vital information to your team.

Adding a Note to a Vehicle in Your Fleet

  1. Navigate to My Office > Company Resources > Fleet and select the vehicle you would like to add a note to.
  2. Enter your information in the Notes field and click “Update Vehicle” to save changes.

Creating a Scheduled Message

  1. Navigate to My Office > Company Settings > Messaging & Template Settings, Scheduled Messaging
  2. Choose Email or SMS from the drop-down
  3. Click “Add New Template” or choose the Template you would like to Edit.
  4. Populate the appropriate settings in your Template based on your scheduling preferences. Messages can be linked to status updates or a certain timeframe prior to the PU (Days, Hours, or Minutes)
  5. Enter in the appropriate content and tags in the text field
    • In this example, the tag for the Vehicle Notes is #TRIP_CAR1_NOTES#, but you can also choose from a list of custom tags based on your exact need by clicking the yellow tags icon at the top of the text field.

6. Based on the parameters set in your scheduled messaging, your driver will receive a text or email with the information you’ve provided.

  • If no note has been added to a Vehicle, that portion of your message will remain blank and will only populate if there is data associated with the tag.

In previous blog posts, we’ve covered some of the use cases for miscellaneous fees in Limo Anywhere, including setting up fees for things like parking, peak fees, and car seats. But did you know you can utilize miscellaneous fees to pay additional earnings out to your drivers? In this blog, we’ll take a deeper look at how to set up these fees in your system, as well as how to correctly configure your payroll settings to ensure these fees pass through appropriately to your drivers.

Configuring Miscellaneous Fees

Miscellaneous fees in Limo Anywhere provide flexibility and customization based on specific criteria. For example, let’s say you want to provide additional incentive to your drivers for accepting early morning or holiday jobs, you can create a miscellaneous fee based on specific dates or times of day.

  1. Click the “My Office” button in the Navigation Bar
  2. Select the “Rate Management” tab and click the System Rate Manager button in the left-hand menu.
  3. Click the “Add New Rate” button.
  4. To add a flat fee, make sure you choose the Fixed Rate tab.
  5. Select “Miscellaneous” from the Rate Group drop-down menu.
  6. Enter a name in the Rate Name field (ex. Late Night Fee, New Year’s Morning Fee, etc.)
  7. Leave the Default Amt field blank, you’ll establish the pricing and rules in the Miscellaneous Fees section.
  8. Click “Save” when you’re finished.
  9. Next, select the Miscellaneous Fees button in the left-hand menu.
  10. Click “Add New Fee”
  11. Select the rate you just created in the “Associate with Rate” dropdown.
  12. Set the “Type” to Mandatory.
  13. (Optional) if you want this fee to be associated with a particular Service Type, Vehicle Type, or Airport Code, you can select the appropriate options from the respective dropdowns.
  14. Enter a name into the Miscellaneous Fee Name field.
  15. Enter the fee amount into the Miscellaneous Fee Amount field.
  16. Select the dates or times when you want the fee to apply.
  17. Click the “Save” button when you’re finished.

If you have holiday or late night fees already set up in your system and wish to pay it partially or in full to your driver, you can configure this in the Driver Payroll section, which we’ll cover in the section below.

Utilizing Driver Payroll

Limo Anywhere offers you the functionality to determine what percentage of different fees that you would like to pay out to your driver.

NOTE: Pay schedules are set up by Vehicle Type but each Vehicle Type can only have one available pay schedule. Schedules can be configured differently from one driver to another, but each driver can only have one pay schedule for each Vehicle Type in the system.

Check the box next to the applicable rate and enter the percentage that the driver is to be paid from each element of the total fee you bill to your customer (ex. 100% of New Year’s Morning Fee created in the previous step).

In the event you have an existing fee in your system, you can choose to pay a percentage of that fee to your driver.

NOTE: if you have existing pay schedules configured in your system you may need to delete any existing schedules for the line items for any newly added fees to populate in the Primary tab correctly.

In our previous blog posts, we’ve walked you through how to set up your Agents, Occasions, and POIs. Now, in this post, we’re shifting our focus to Sources. Sources can help provide you with further insight into where new accounts or bookings are coming from, enabling you to track the impact of your marketing efforts, gauge the effectiveness of referral partnerships, and more.

Adding a Source

  1. Click the ‘My Office’ icon in the Navigation Bar.
  2. Select the ‘List Management’ tab and click the ‘Sources’ button in the lefthand menu.
  3. Click the ‘Add New Source’ link at the top right of the Source Listing module.
  4. Enter a Source Name and Description (these entries can be the same).
  5. Select ‘Active’ from the Source Status dropdown menu.

Click ‘Add New’ to save your new Source.

Editing or Deleting a Source

  1. Click the ‘My Office’ icon in the Navigation Bar.
  2. Select the ‘List Management’ tab and click the ‘Sources’ button in the lefthand menu.
  3. Click either the Source Name or Source Description links to open the editor.
  4. Make the appropriate changes and click the ‘Update’ button to save changes.
  5. To delete a source, follow steps 1-3 but select the ‘Delete’ button to remove the Source from the system.

Note: You will find two Sources pre-populated in your system ‘0’ and ‘000’ which you can choose to inactivate, update, or delete from within your system.

Adding a Source to a Reservation

  1. In the reservation screen select the appropriate Source from the Referral Source dropdown menu.
  2. (Optional) You can also enter an Occasion to gain further insights on your referred bookings. You can read more about utilizing Occasions in one of our recent blogs at the following link.

Utilizing Sources in Reporting & Analytics

You can use the Sales Revenue Report to get an overview of reservations associated with a particular source (ex. grand total of all reservations, total number of hours, average rate per trip, and total number of trips). You can use additional filters in this report to view more detailed information (ex. Vehicle Type, Driver, Car, how many were Cancelled, marked as a Late Cancel, etc.).

If you choose ‘MS Excel’ from the Output Format dropdown, the exported report include the Passenger Emails, which can be utilized for tailored marketing efforts.

Peak Pricing

If you would prefer a percentage increase on these dates, the process is the same, but in the System Rate Manger you’ll choose the “Percentage Rate” tab and you’ll choose which Surcharge you want to associate your holiday fee with in the “Rate Group” dropdown.

Holiday Promo Codes

In addition to peak pricing, you may want to encourage bookings throughout the holiday season, this is where promo codes and rates come into play.

Scenario 1: $30 Discount on Airport Transfers during Christmas and New Year\’s Week

  1. Click the “My Office” button in the Navigation Bar
  2. Select the “Rate Management” tab and click the Special Promotions Set Up button in the left-hand menu.
  3. Click the “Add Promo Code” button.
  4. Enter a name in the Promo Code Field
  5. Make sure the “Is Discount” option is checked.
  6. Choose the service types you want the discount to apply to, such as \”To Airport\” and \”From Airport\”.
  7. Set the date range for your promotion and include a description.
  8. Click \”Add Promo Code.\”

9. To finalize the discount, go to the Promo Discounts tab, select the Promo Rate you just created, and enter the discount amount, either as a flat rate or percentage.

Scenario 2: Special Promotional Rate for Holiday Lights Tour

  1. Add a new Promo Code following the steps above but leave the \”Is Discount\” box unchecked.

  3. Navigate to the “Promo Rates” tab.

In the ground transportation industry, agents are vital contributors who assist companies in boosting their revenue. In this blog post, we\’ll dive into the steps of establishing and managing agents within the Limo Anywhere.

Setting Up Agents

An agent refers to anyone who receives compensation, either through a fixed fee or a percentage-based commission, for making a sale on behalf of the company. These agents can include company employees or individuals who are not directly employed by the company, such as hotel concierges or travel agents. To add an agent to your system:

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select the “Company Resources” tab and click the “Agents” button from the left-hand menu.
  3. Enter the agent’s information in the blank form on the right side of the screen by completing the following fields
    1. Personal Information
      • First and Last Name (this is the only required field to create an agent profile)
      • Company Name (if applicable)
      • Street Address, City, State, and Zip Code
      • Driver’s License Number, Social Security Number, and Date of Birth (Note: Because agents are paid this information will most likely be required for reporting tax purposes.)
    2. Other Information
      • Enter the commission to be paid on each trip in the Comm Rate field. Commissions can be set as a flat fee or paid out based on a percentage.
      • Select either “Base Charges” or “Grand Total” from the “Calculate Agent Commission on:” drop down.
    3. Contact Information
        • Phone Number
        • Fax Number
        • Office Phone
        • Cellular Phone and Provider
        • Pager/Other and Provider
        • Email Address
        • Website Address
        • Agent Web Referral Code
          • Note: This code must be unique for each Agent and not contain any special characters or spaces. For more information see the section below.
        • Agent Web Access
  1. Click “ADD NEW AGENT” to save the information and add the agent to your system.

Utilizing the ORES Agent URL

The ORES Agent URL enables you to provide agents with a unique URL, allowing them to make reservations while ensuring that the reservation is linked to them. This ensures they receive the appropriate commission if applicable.

For example, consider a scenario where you\’ve partnered with a local hotel, offering a 5% commission for each reservation they make on behalf of their guests through your company. By providing them with an Agent URL, they can start making reservations for their guests right away, and the reservation will automatically reflect their commission rate. To create a unique booking link for an agent:

  1. Click the “My Office” icon in the Navigation Bar.
  2. Select the “Company Resources” tab and click the “Agents” button from the left-hand menu.
  3. Add a new agent using the steps above or editing an existing agent by selecting an agent from the menu and clicking the “EDIT AGENT” button.
  4. Enter the code you would like to use for the agent’s bookings. Note: this code must be unique for each agent and cannot include spaces or special characters.

5. Click either the “SAVE AGENT” or “UPDATE AGENT” button to save the changes.

6. Once the agent’s information has been saved you will now see a unique booking URL that you can provide to the agent by selecting the “Copy” button.

  1. When the agent books with their provided URL their information will automatically be added to the reservation as the primary agent.

In our August 9 Release Notes we announced the updates and enhancements that we made to the Reporting & Analytics within Limo Anywhere, and in this blog we’ll take a deeper look at the new and improved dashboard.

To access the Reporting & Analytics dashboard click the “Reports” icon from the Navigation bar, then select the Reporting & Analytics tab. The new dashboard is located within the “Overview” tab. Default Report Templates are now available in the “Report Templates” and you can open multiple report tabs at once by clicking the “+” icon.

Limo Anywhere’s new revenue charts allow you to easily review both monthly and annual fluctuations in your revenue. As we navigate the digital landscape of 2023 where technological hiccups can occur unexpectedly, it\’s crucial to prioritize preemptive actions. By establishing redundancies in your business, you create an additional layer of protection that ensures uninterrupted access and smooth operations. When an interruption arises, having these backups in place allows for swift recovery, reducing any potential downtime and minimizing the impact on your limo business. One such redundancy that you can employ within Limo Anywhere is ensuring that your Reservation Manifest Reports are emailed to you regularly.

Scheduling Email Reservation Manifests

  1. Navigate to My Office > Company Settings > Messaging & Template Settings > Email Res Manifest
  2. Set the ‘Enabled’ dropdown to ‘Yes’.
  3. Choose your desired date range from the Date Range dropdown (ex. Current Date, Current Date +1 Day, Current Date +2 Days)
  4. Select how frequently you would like to receive your Reservation Manifest Reports from the ‘Send Every’ dropdown. The available frequencies are 2 Hours, 4 Hours, 6 Hours, 8 Hours, 12 Hours, and 24 Hours (the appropriate frequency for your business will vary based on trip volume and size of your operation, but we recommend having this report mailed to you every 2 to 4 Hours)
  5. Select the time you want included in the ‘Starts From’ dropdown.
  6. Confirm all other dropdown filters are set to ‘All’.
  7. Select which items you would like to Exclude or Include.
  8. Enter the email addresses that you would like to have receive the Reservation Manifest Reports. The reports can be emailed to up to three different accounts (ex. reservations@companydomain.com, info@companydomain.com, etc.)
  9. Click the ‘Save Settings’ button to apply the selected settings.

While we recommend scheduling your Reservation Manifest to be emailed automatically, you can also generate a reservation manifest manually if the need arises (ex. you are expecting inclement weather that may impact your connect to the Internet, your ISP has scheduled network maintenance, etc.)

Manually Generate a Reservation Manifest

  1. Click “Reports’ and navigate to the ‘Reservation Manifest’ report creation box.

  1. Select either ‘Detailed View’ or ‘Summary View’ from the dropdown.
  2. Select either ‘With Payment Data’ or ‘Without Payment Data’ from the dropdown to determine if customer payment data will be included on the report.
  3. Select the ‘Date From’ and ‘Date To’ that is appropriate for the days to be included on the manifest.
  4. (OPTIONAL) Select the ‘Time From’ and ‘Time To’ to narrow the time period that the manifest will be produced for.
  5. Select which items you would like to Exclude or Include from the report.
  6. Select the the desired format from the ‘Output Format’ dropdown. The options include ‘Web Page’, ‘Send Email’, ‘Excel-Standard’, and ‘Excel-Inline’. Note: Excel-Standard mirrors the layout found on the ‘Web Page’ format, Excel-Inline converts a reservation to a single row with the appropriate data broken down into relevant columns (ex. Pick-up Date, Pick-up Time, Service Type, PU Location, etc.)
  7. Click ‘CREATE MANIFEST’ to generate the report. Repeat the steps above for each report you wish to generate manually.
