Understanding where your bookings come from is an important part of managing day-to-day operations. In Limo Anywhere, Sources allow you to tag reservations based on how the trip originated. This might be a website inquiry, a marketing campaign, a referral partner, or an internal sales effort.

When Sources are used consistently, they provide useful context for reporting, partner management, and day-to-day review without adding complexity to the booking process.

Accessing and Managing Sources

  1. Click the “My Office” icon.
  2. Navigate to the “List Management” tab.
  3. Select “Sources” from the left-hand menu.
  4. Click “Add New Source.”
  5. Enter a Source Name and optional Description.
  6. Confirm the status is set to Active.
  7. Click “Add New” to save.

Source names should be clear and recognizable so they are easy to select during booking and easy to interpret later when reviewing reports.

Editing or Deactivating Sources

As your operation evolves, your Source list may need occasional cleanup.

  1. Click the “My Office” icon.
  2. Navigate to the “List Management” tab.
  3. Select “Sources” from the left-hand menu.
  4. Click on the hyperlink for the Source you want to update.
  5. Make any necessary changes and click Update.

If a Source is no longer in use, you can deactivate it. Limo Anywhere includes default Sources labeled “0” and “000.” If these do not fit your workflow, they can be edited, deleted, or inactivated. 

Adding Sources to Reservations 

  1. Open a reservation. 
  1. Locate the “Referral Source” drop-down menu.  
  1. Select the desired Source.  
  1. Click “SAVE RESERVATION” to apply the update.  

Sources can be assigned during the initial booking process or updated later if the information becomes available after the reservation is created. Consistency matters more than timing. The goal is to ensure each reservation is accurately tagged before reports are reviewed. 

Practical Use Cases for Sources 

Sources are often associated with marketing, but they serve several operational purposes. 

  • Tracking Booking Channels 

Sources allow you to see which channels are producing confirmed reservations, not just quotes. This can help distinguish between high-volume sources and high-value ones. 

  • Managing Referral Relationships 

For hotels, concierges, travel agents, and other partners, Sources provide a straightforward way to review how often each partner is sending business and what that business looks like over time. 

  • Internal Tracking and Accountability 

Sources can also reflect internal activity, such as outbound sales efforts, account management, or repeat corporate clients, giving additional context when reviewing performance. 

Reviewing Source Data in Reports 

Sources become most useful when paired with reporting. In the Sales Revenue Report, you can filter by Source to review totals for trips, revenue, hours, and cancellations. 

Using Source filters alongside service types or date ranges can help answer questions such as: 

  • Which referral partners are generating the most revenue? 
  • Did a recent campaign result in new bookings? 
  • Are certain Sources associated with higher-value or repeat trips? 

Review your Source list from time to time to remove entries you no longer use and add new ones as your operation changes. Applying Sources across reservations helps keep reporting accurate. When reviewing performance, it’s most useful to look at Sources alongside service types and revenue rather than on their own.

Sources are simple to set up, but they become more useful as your data grows. Over time, they provide better visibility into how bookings enter your system and support more informed decisions across marketing, partnerships, and operations.

At Limo Anywhere, we’re always working to enhance the booking experience for both you and your passengers. That’s why we’re excited to announce a simple yet powerful update to your Online Reservation System (ORES) — the ability to display full Terms and Conditions in a scrollable box with mandatory acknowledgment.

What’s New?

We’ve introduced a new setting that allows you to display your full Terms and Conditions in a scrollable container directly within the ORES booking widget. Before a passenger can complete a booking, they must check an “Accept” checkbox to confirm they’ve read and agreed to your terms.

If the checkbox is left unchecked, it will be highlighted in red when the user clicks “Book Now,” preventing the booking from proceeding until it’s acknowledged.

What Changed (And Why It Matters)

Previously, ORES allowed you to link to your Terms and Conditions, but passengers weren’t required to view them. There was no way to confirm whether the person booking had seen the terms, and that created a weak point in the case of disputes and chargebacks.
Now, this new pattern ensures:

  • Passengers must view and accept your terms before booking
  • There’s a recordable user action confirming acknowledgment
  • You gain a stronger position in chargeback disputes

In essence, this new step helps demonstrate intent and agreement — two critical elements that increase your chances of winning payment disputes.

How to Enable It

You can enable the feature in just a few clicks:

Navigate to:
My Office > Company Settings > Online Reservations > ORES & Mobile
Then, turn on the setting for the scrollable Terms and Conditions box, and save.

Note: This feature requires that Terms and Conditions are already assigned to your ORES account. Most operators already have this in place.

Agents play an important role in growing your operation by bringing in new bookings. Whether they’re internal employees or external partners like hotel concierges or travel agents, Limo Anywhere makes it easy to manage their profiles, track commissions, and provide them with unique booking links. In this blog, we’ll walk through how to set up agents in your system and utilize the ORES Agent URL.

Setting Up Agents

Agents earn a commission or flat fee for booking reservations on your behalf. To add an agent in Limo Anywhere:

  1. Click “My Office” in the Navigation Bar.
  2. Select the “Company Resources” tab, then click “Agents” from the left-hand menu.

3. Enter the agent’s information in the form on the right, including:

  • Personal Information
    • First and last name (required)
    • Company name (if applicable)
    • Address, driver’s license number, Social Security number, and date of birth (typically required for tax reporting)
  • Commission Settings
    • Enter the commission rate (flat fee or percentage)
    • Choose to calculate commission based on either “Base Charges” or “Grand Total”
  • Contact Information
    • Phone numbers (office, cell, fax, pager/other)
    • Email address
    • Website
    • Agent web referral code (must be unique, without spaces or special characters)

4. Click “ADD NEW AGENT” to save.

Using the ORES Agent URL

The ORES Agent URL allows agents to make reservations through a unique booking link. When used, the system automatically assigns the agent to the booking and applies their commission.

Example:

If you partner with a local hotel and offer a 5% commission for bookings made on behalf of their guests, providing them with an Agent URL ensures that every reservation they create is properly tracked.

Creating an Agent Booking Link

  1. Click “My Office” in the Navigation Bar.
  2. From within the “Company Resources” tab, select “Agents” from the lefthand menu.
  3. Add a new agent or edit an existing agent by selecting them and clicking “EDIT AGENT.”
  4. Enter a unique referral code (letters and numbers only, no spaces or special characters).
  5. Click “SAVE AGENT” or “UPDATE AGENT.”

6. Copy the unique booking URL and provide it to the agent.

7. When the agent books through this UR, their information is automatically added to the reservation.

Whether you’re welcoming first-time bookers, nurturing loyal customers, or re-engaging past clients, Limo Anywhere offers plenty of features to help improve your client communication in the new year. In this blog, we’ll explore how to use the Export Customers feature to identify new bookers.

Identifying New Bookers

  1. Click the “Accounts” icon in the Navigation Bar.
  2. Select the “Export Customers” tab.
  3. (Optional) Select which alias you want to run reports by or leave the dropdown set to “All.”
  4. Check “Include All Dates” (you’ll use the “Date Created” option to help filter dates).
  5. Check “Include All Fields” to export all available data, or manually select the specific fields you want to include from the list below. Note: We recommend selecting fields that may be useful for uploading to a CRM or similar tool. In particular, we suggest checking Account Number so you can determine whether a new booker is associated with an existing company or if the client is both a new booker and a new client.

6. Ensure the “Date Created” option is checked, as this is the key data point for identifying new accounts.

7. Click the “Generate Export File” button.

8. Download the export file once it has been successfully generated.

9. Open the file and sort the Date Created column from Newest to Oldest.

10. Remove any entries that fall outside your desired timeframe. For example, if you’re focusing on new bookers from the past month, delete any entries that are older.

11. Add a new column titled “Travel Date” and use the Account Number to look up when new accounts will be traveling.
Note: Since this list only shows when new accounts were created, it’s possible that your bookers may not be traveling for several months. You have the option to follow up closer to their travel date or reach out proactively in response to their booking. For corporate accounts, reaching out proactively may offer more benefits.

Following up with clients allows your operation to focus on key priorities. It helps build strong relationships, keeping clients engaged and more likely to return. You can also use follow-ups to encourage repeat business, whether through loyalty programs or personalized offers. For corporate accounts, reaching out early helps you establish long-term partnerships. Plus, follow-ups give you a natural opportunity to upsell or suggest additional services that can benefit your clients.

It\’s equally important to keep tabs on your clientele and attract new customers to ensure sustained growth. Accessing New Booker Reports

In contrast to other reports, you can find this data under the Accounts tab in Limo Anywhere.

  1. In the Navigation Bar, click the Accounts icon.
  2. Select the ‘Export Customers’ tab.
  3. Select the parameters for the data you would like to Export. Note: make sure to check the ‘Date Created’ box to determine what accounts in your system are new.
  4. Select the date range of reservations you are looking to check for new accounts (daily, weekly, monthly, etc.)
  5. Once you have selected the appropriate parameters, click the ‘Generate Export File’ button.

  1. Manipulate the data in the spreadsheet to only include the relevant information.
  2. Sort the “Date Created” column by Newest to Oldest to see the accounts that were created most recently at the top.
  3. Remove any rows that are not relevant to the dates you are looking to review. In the screenshot below, we have removed accounts not created within the past month.

Once you have the spreadsheet, you can use this information to see new companies and retail clients that have been booking trips and plan your follow up for repeat business.

Note: this report will not indicate if trips have been cancelled: just that trips have been booked during the selected duration. We recommend looking up account numbers in your system to confirm a reservation has been completed successfully prior to reaching out.

Email, Email, Email for Monthly Communication 

One of the easiest ways to communicate with customers is via email. Everyone’s got an email address! Set up a monthly customer email where you share success stories, interesting updates to the business, any community-based initiatives you’re doing, or any notable employee recognitions. Customers relate well to emails that aren’t too heavy with minutiae but are helpful, easy to read, and provide some sort of CTA (call to action), which can be as simple as “click here to read more” about a blog on your website, for example. 

Easy To Use Software for Automated Communication 

If you don’t already have software that’s been designed specifically for the black car industry, don’t delay. Scaleable to any size business, software such as that offered by Limo Anywhere is the best way to not only run your business (booking, reservations, accounting, etc.) but it includes many options for communicating with your customers. There’s also an associated app which can be used for texting between customers and drivers, booking agents and drivers, and more. When it comes to communication about a customer’s black car service, whether that’s to the airport to head to a conference, or a booking for a night on the town for a celebration, the more information the better. No one wants to hear about delays after the fact. 

 

Pick Up The Phone

It might be old-fashioned, but do you have a human person at the end of your company phone number? Remember, your customers\’ age range is likely relatively wide, and you might be dealing not only directly with customers but with their assistants or spouses. While some generations prefer texting (which should also be an option for communication for your company!), an easy phone call, whether to book a ride or speak to someone about an issue, can go a long way to providing comfort and relief to an exasperated or exhausted traveler.

During the first webinar in Limo Anywhere’s Virtual Academy Series, Josh Anderson and Brandon Edley discussed some of the upcoming improvements to the system that will enhance lead generation, increase sales, and improve your client relationship management.

There are some exciting changes coming soon that Limo Anywhere users can look forward to, but here are some of the key takeaways from the webinar and some things you can do to prepare yourself to maximize these tools.

Foundational Tools

  • Google Analytics

To determine what aspects of your marketing efforts are successful, you need tools to help you measure that success. Google Analytics is one of the free tools available that can be installed on your website, mobile apps, and booking widgets that allow you to see how visitors are interacting with your website, where they come from, changes in user traffic, and if a visitor converts to a sale or other desired action.

  • Google Tag Manager

Google Tag Manager is another free tool that can be installed that can allow you to monitor a number of analytics within a single tool (including Google Analytics, AdWords, and Facebook Pixel). Having all of this information in a single location will help get a more accurate view of the data reported.

Generating Leads

  • To help enhance your marketing efforts, you should always be looking for new marketing channels. You may find new channels that have a lower cost per lead than those you are currently investing in. Having analytics to review will allow you to determine where you should be dedicating your ad spend to maximize the return on your investment.
  • Some popular marketing channels include Facebook, YouTube, TikTok, LinkedIn, and Google AdWords, each of which will allow you to test performance with different age groups, income levels, job titles, dedicated budgets, and ad types.

Increasing Sales

  • Partner Marketing

Partner marketing is a type of partnership in which a publisher (a content creator such as a blogger or vlogger) is paid to generate leads for another company. By posting a link on their website or social media page, they help to drive traffic to their partner’s site. This is meant to increase the partner’s web traffic and boost their sales. There are two types of partner marketing:

  1. Agent Marketing Programs

An individual marketing deal made with an individual, like a travel agent, concierge, or through referrals.

  1. Affiliate Marketing Networks

Platforms where are large number of partner programs are offered by various companies, for example Commission Junction or Rakuten Advertising. These platforms allow you to utilize the agreements that have been created by the affiliate marketing network and they act as a middleman between you and their userbase.

  • Marketing with Agents

An Agent is anyone that is paid a dollar amount (either a flat fee or percentage commission) for generating that sale for the company. You can add agents in Limo Anywhere within the Company Resources tab. Existing Agents in the company\’s Limo Anywhere will display in the Agent list. Active Agents will be in black font, Inactive Agents will be in red font, and new Agents can be added by completing the blank form to the right of the Agent list. You can provide your Agents with a custom link that they can either share with users to book, or host on their website to help drive business, which will automatically attach the Agent profile to the reservation.\"\"

Improving Relationships

  • While emails and quotes can be sent utilizing Limo Anywhere, implementing an email marketing program (ex. MailChimp) and a CRM (ex. SalesForce) allows for greater opportunities for you to communicate with your client base and maintain the existing relationship with your clients.
